We are seeking a Project Coordinator / Assistant Project Manager with strong experience in construction project financial administration. This role focuses on supporting large-scale commercial projects through requisition management, billing, reporting, and cost tracking. Projects may include high-rise buildings, hospitals, and major interior renovations. The ideal candidate has prior experience working for a general contractor or specialty contractor on complex construction projects, with a clear understanding of project financials, documentation, and client communication.
Requirements
- Administer and prepare monthly requisitions and payment applications in accordance with contract terms and formats.
- Prepare invoices, change order logs, and related financial documentation.
- Monitor, communicate, and resolve open issues related to assigned projects, including billing discrepancies and change order approvals.
- Compile, maintain, and distribute cash flow projections, forecast reports, and cost analyses using internal construction financial software.
- Maintain project billing files in a complete, accurate, and organized manner.
- Perform job cost and profit / loss analysis for assigned projects, ensuring alignment with budget and contract requirements.
- Collaborate closely with Project Management teams regarding billings, change orders, back charges, close-outs, and financial reporting.
- Regularly interact with clients, vendors, and internal teams to support collections, documentation, and compliance.
- Review and generate necessary waivers, tax certificates, certified payroll, insurance, and M / WBE reports as required.
- Provide financial and administrative support to leadership for assigned projects, ensuring timely and accurate reporting.
- Attend periodic in-office meetings in NYC (at least once per month).
- Maintain regular and reliable on-site attendance as required by project schedules.
QUALIFICATIONS
5+ years of construction project experience (Project Coordinator, Assistant Project Manager, or Project Accounting–related roles).Strong understanding of construction billing, contract terms, lien waivers, and change order processes.Experience with Viewpoint by Vista ERP software is highly preferred.Proficiency in Microsoft Excel (including formulas and formatting) and general MS Office applications.Excellent written and verbal communication skills for client and internal coordination.Ability to prioritize effectively in a fast-paced, deadline-driven environment with minimal supervision.Previous work directly for a construction contractor (general, electrical, mechanical, or related) is required.PHYSICAL DEMANDS
