Job Summary This position provides administrative support for the teaching faculty, staff and students in the General Chemistry large instructional program.
Duties & Responsibilities
- Serve as the main point of contact for inquiries regarding General Chemistry; communicate independently with students, faculty and staff inside and outside the department regarding course, division and university policies.
- Arrange and schedule Division meetings for the Associate Head and General Chemistry Supervisor.
- Draft and finalize memos and letters for the Associate Head and other faculty uses; review and edit documents for content, spelling, punctuation, syntax and format.
- Review incoming mail and respond to items that do not require the attention of the Associate Head or faculty.
- Provide basic scheduling, copying and word-processing support for the Associate Head and faculty; serve as backup for office support team members.
- Assist in planning staff workload, selection and training of office support duties.
- Oversee preparation of student exams, ensuring accuracy of exam forms, enrollments and room assignments.
- Initiate and manage confidential records such as student grades, proficiency exams, course credits and teaching assistant application files.
- Assist faculty with graduate teaching assistant (TA) hiring and assignment processes.
- Track and report enrollment data throughout the semester for divisional analysis.
- Purchase equipment and supplies for laboratory, faculty teaching needs and outreach initiatives while adhering to budgetary restrictions.
- Arrange travel and prepare reimbursements for faculty and staff, including those on external grants.
- Assist in facilitating faculty and staff hosting and participation in local, state and national events and conferences; schedule events, coordinate participant materials and prepare reimbursements.
- Perform other related duties as assigned.
Required Qualifications
High school diploma or equivalent.Two (2) years (24 months) of work experience comparable to the third level of this series.Preferred Qualifications
Ability to exercise initiative, confidentiality, discretion and sound judgment.Effective communication skills with others.Time-management skills.Ability to establish and maintain professional and cooperative relationships with faculty, staff and students.Commitment to creating an inclusive environment.Knowledge of administrative and clerical procedures and systems such as word processing, file and record management.Knowledge of customer-service principles and processes.Proficiency with computers and computer systems (hardware and software).Ability and initiative to pursue relevant training.Appointment Information
This is a 100% full-time Civil Service 3266 – Office Manager position, appointed on a 12-month basis. The expected start date is as soon as possible after the application deadline. Salary is $46,975.50. Sponsorship for work authorization is not available.
