Automation & Systems Manager
Role Overview
The Automation & Systems Manager will play a key role in executing and maintaining the companys technology and automation roadmap. Reporting directly to the VP of Strategic Initiatives, this role blends hands-on systems work with structured coordinationensuring our internal tools, automations, and platforms operate efficiently and continue to evolve with the business.
In some cases, this person will own projects end-to-end (from build to rollout and QA); in others, they will collaborate directly with leadership and external developers on larger strategic initiatives. The ideal candidate is organized, technically fluent, and comfortable moving between building, testing, and coordinating to keep systems running smoothly.
Key Responsibilities
Automation & Systems Ownership
- Build, test, and maintain HubSpot workflows, Zapier automations, and related integrations across business systems.
- Support and optimize integrations between HubSpot, Qwilr, Google Workspace, and other internal tools.
- Document and streamline internal processes to make automations scalable, resilient, and easy to maintain.
- Monitor performance of key systems and troubleshoot or enhance automations as needed.
Project Coordination & Execution
Partner with the VP of Strategic Initiatives to plan and execute new technology initiatives.Coordinate deliverables across teams and external vendors, ensuring priorities, blockers, and progress are clearly tracked (in ClickUp or similar).Maintain clear documentation and communication between internal stakeholders, developers, and designers.
Keep tech-related projects organized and moving forward on time and within scope.Quality Assurance
Create and run test plans for internal software and automation deliverables (portal updates, quoting tools, etc.).Conduct user acceptance testing (UAT) prior to rollout to ensure reliability and accuracy.Establish consistent QA standards across systems to minimize rework or downtime.Vendor & Team Collaboration
Coordinate with external developers and designers to ensure deliverables align with company goals.Manage documentation, testing, and review processes for vendor-built features or automations.Provide feedback and improvement recommendations to leadership on tool performance and workflow gaps.Upcoming Strategic Projects
Building an in-house quoting and pricing system for instant estimates.Expanding functionality in our customer portal to improve client experience.Supporting development of a mobile app to deliver real-time customer updates.Qualifications
35 years of experience in business systems, operations, marketing ops, or RevOps roles involving automation and integrations.Proficiency with HubSpot CRM (workflows, pipelines, reports).
Working knowledge of Zapier, Make.com, or other low-code automation platforms.Experience coordinating developers or vendors to deliver technical solutions.Familiarity with QA testing, process documentation, and rollout planning.Excellent organizational and communication skills; able to translate between business and technical contexts.Self-starter comfortable working remotely, balancing structure with flexibility.Compensation
Base Salary : $50,000$75,000 (depending on experience)
