Overview

Legal Administrative Assistant (Full-Time)

Pay : $18.00 - $22.00 per hour (based on experience) Hours : Monday–Friday, 8 : 00 AM – 5 : 00 PM PST

Legal Copy Service is seeking a dedicated and detail-oriented Administrative Assistant to join our fast-paced team. The ideal candidate will have hands-on experience preparing and entering subpoenas and performing a variety of administrative and clerical duties that support our legal operations. This position is perfect for someone who thrives in a structured environment, enjoys multitasking, and takes pride in producing accurate and timely work. This is a remote position.

Responsibilities

  • Prepare, enter, and verify subpoenas and related legal documents
  • Manage high-volume phone activity (40–50 incoming and outgoing calls daily)
  • Schedule and coordinate record retrievals with facilities and clients
  • Track and follow up on pending records to ensure timely completion
  • Conduct EAMS and case searches
  • Prepare and manage correspondence, declarations, bills, and other legal documents
  • Perform general administrative duties including filing, emailing, faxing, and mailing
  • Maintain calendars and assist with scheduling tasks
  • Provide excellent customer service to clients and partners

Qualifications & Skills

  • Experience working in a law firm or legal copy service preparing subpoenas desired
  • Strong attention to detail and ability to meet critical deadlines
  • Excellent verbal communication and customer service skills
  • Proficient in Microsoft Word, Excel, Outlook, and general internet use
  • Organized, dependable, and able to manage multiple priorities in a fast-paced environment
  • Positive, professional attitude and appearance
  • Team-oriented with the ability to work independently
  • Education & Experience

  • High school diploma or equivalent required
  • Prior office experience required
  • Legal or records management experience strongly preferred
