Fire Department Administrative Assistant
Reporting to the Fire Chief, this position is responsible for a wide variety of complex administrative functions to support the fire department command staff, Emergency Management Agency, Tri-City Ambulance, and the Board of Fire and Police Commissioners.
Examples of duties include :
- Providing exceptional customer service to the public and city staff in person, over the telephone, and electronically with a collaborative and positive approach.
 - Administrative duties include answering telephones; composing correspondence; drafting documents and reports; scheduling meetings; transcribing meeting minutes; maintaining calendars; creating, maintaining, distributing and filing documents; maintaining and monitoring records retention; and providing other administrative support to the department.
 - Creating and processing requisitions and purchase orders.
 - Organizing, executing, forecasting and overseeing departmental activities and projects.
 - Responding to Freedom of Information Act (FOIA) and Health Insurance Portability and Accountability Act (HIPAA) requests.
 - Assisting with preparation and maintenance of the department budget.
 - Attending evening Board of Fire and Police Commission meetings and attending other Fire department functions outside normal business hours.
 
Qualifications include :
High school diploma or equivalent, associate's degree preferred.Minimum of three years of administrative experience.Excellent oral and written communication skills.Strong computer skills with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams, OneNote, Publisher), Adobe, and other software applications and database programs.Ability to maintain strict confidentiality.Supplemental information includes :
