Position : Administrative Assistant III
Location : On-site at EMHQ
Schedule : Monday–Friday, standard business hours
Target Pay Rate : $37.40 / hr
Position Overview
The Administrative Assistant III will provide high-level administrative support to one executive directly and an additional 3–4 leaders on an ad hoc basis, as well as assist a department of approximately 12–15 team members as needed. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, professional environment.
Key Responsibilities
Provide executive-level administrative support, including calendar management, meeting coordination, and correspondence.
Handle scheduling for multiple leaders, proactively resolving conflicts and ensuring effective time management.
Manage expense reports, procurement card (PCard) transactions, and ordering of materials or supplies.
Prepare and edit reports, presentations, and other documents as needed.
Support department-wide initiatives and special projects involving data collection, analysis, and reporting.
Maintain organized filing systems and accurate records (digital and physical).
Coordinate department meetings and events, including logistics and communication.
Manage and administer SharePoint access and permissions requests.
Serve as a key point of contact within the department, providing excellent customer service to internal and external stakeholders.
Qualifications
Proven experience supporting executives or senior leaders in a professional environment.
High proficiency with Microsoft Office Suite , especially Outlook, Excel, Word, and PowerPoint .
Strong calendar management and scheduling expertise, with the ability to handle complex calendars and competing priorities.
Experience with expense reporting, PCard management , and procurement processes .
Working knowledge of SharePoint administration preferred.
Exceptional written and verbal communication skills.
Highly organized, detail-oriented, and able to manage multiple tasks independently.
Demonstrated professionalism, discretion, and ability to work with confidential information.
