The Facilities Administrative Assistant provides essential administrative support to campus Facilities leadership and serves as a key point of contact for faculty, staff, students, vendors, and visitors. This role supports daily operations across work orders, space reservations, access control, accounting, and safety coordination.

Provide administrative support to Facilities leadership.
Manage the campus work order system, including access and training.
Coordinate and approve space reservations for classes, meetings, and events.
Issue and track access badges, keys, and parking permits.
Support onboarding by coordinating facilities access and system setup.
Assist with tenant coordination, signage, and communications.
Support facilities accounting tasks, including invoices, budgets, and expense reports.
Assist with safety activities, fire drills, and campus notifications.
Review and track campus security reports.
Support student orientations and provide reception desk coverage as needed.
3–5 years of experience in administrative or customer service roles
Strong organizational, multitasking, and time-management skills
Advanced proficiency in Microsoft Word, Outlook, and Excel
Excellent written and verbal communication skills
Ability to work independently and collaboratively
High attention to detail and follow-through
