Administrative Assistant
The Administrative Assistant provides high-level clerical and administrative support to the Executive Director and serves as a key liaison to both the Human Resources and Finance departments. This position ensures the efficient day-to-day operation of ITCN's Central Office by managing communications, coordinating administrative functions, and assisting with organizational and program support activities that serve Nevada's 28 member tribes.
Duties And Responsibilities
- Provide direct administrative support to the Executive Director, including managing calendars, scheduling meetings, and drafting correspondence.
- Prepare, proofread, and format letters, memos, reports, and official documents for executive and board review.
- Answer and route phone calls, emails, and inquiries to appropriate staff or programs.
- Maintain organized filing systems, both digital and hard copy, for agency records, contracts, and program files.
- Assist with preparation of Board meeting materials, agendas, and minutes.
- Support coordination of events, conferences, and trainings, including logistics, travel arrangements, and supply orders.
- Maintain office supplies, coordinate procurement activities, and assist with vendor communications and purchase requests.
- Serve as administrative support to the Human Resources Department, including :
- Assisting with onboarding new employees and maintaining personnel files.
- Supporting HR correspondence, timekeeping documentation, and training records.
- Assisting with recruitment postings and application tracking as needed.
- Provide administrative support to the Finance Department, including :
- Assisting with organizing invoices, receipts, and supporting documents for payment processing.
- Tracking purchase orders and maintaining documentation for grant and program expenditures.
- Assisting with preparation of financial reports and audits as needed.
- Maintain confidentiality of sensitive personnel and financial information at all times.
- Perform other duties as assigned by the Executive Director.
Required Qualifications
Associate's Degree in Business Administration, Office Management, or related field preferred; equivalent experience will be considered.Minimum of two (2) years of administrative or clerical experience, preferably within a tribal, nonprofit, or governmental organization.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with digital filing systems and databases preferred.Ability to prioritize multiple tasks, meet deadlines, and maintain professionalism in a fast-paced environment.Demonstrated cultural awareness and respect for tribal communities and governments.Valid driver's license and ability to travel to tribal communities throughout Nevada.Working Conditions & Physical Requirements
This position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, printers, and filing systems.May be required to travel frequently to tribal communities throughout Nevada, including overnight stays and occasional evening or weekend meetings to attend community events, job fairs, or training sessions.Must be able to sit or stand for extended periods, lift up to 50 pounds occasionally, and participate in community outreach events indoors and outdoors.Flexibility to work evenings or weekends on occasion, depending on program activities or special events.Exceptional Benefits Package
