DESCRIPTION: Edmonds College, School of STEM (Science, Technology, Engineering, and Mathematics) is seeking an Administrative Assistant 2.
The School of STEM at Edmonds College invites applications for a dedicated and detail-oriented Administrative Assistant 2 to join our collaborative team. This position plays a key role in keeping our division running smoothlysupporting faculty, staff, and students, and ensuring that daily operations align with college policies and practices.

KEY RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
- Front Office Coordination: Serve as the first point of contact for the STEM divisionwelcoming visitors, managing emails and calls, scheduling appointments, and providing helpful information to faculty, students, staff, and occasionally community members.
- Faculty Support & Onboarding: Coordinate faculty onboarding and hiring logistics. Maintain tracking sheets, schedule, and submit full-time and part-time instructor evaluations completed by the Dean.
- Office Management: Oversee and purchase division supplies, process purchase requests, and arrange equipment maintenance to support an efficient, well-organized workplace.
- Meeting & Event Support: Schedule and prepare division meetings, take minutes, and assist with logistics for workshops and events.
- Financial Coordination: Track and reconcile assigned division budgets, prepare purchase orders, and process reimbursements with accuracy and attention to detail.
- Record Keeping & Reporting: Maintain and update division records, leave tracking, quarterly and annual evaluation timelines, etc., as outlied in the faculty contract.
- Digital & Data Management: Maintain the STEM Division's internal and external communication tools (Google Sites, listservs, shared drives, databases) to ensure accurate, up-to-date information.
- Document Preparation: Develop and edit forms, reports, and presentations; proofread materials; and streamline office processes to improve efficiency.
- Special Projects: Support the STEM Dean and division staff with additional initiatives that enhance efficiency and student success.
This is a classified staff position reporting to the Administrative Services Manager.

REQUIRED QUALIFICATIONS:
- High school diploma, GED, or equivalent education.
- Minimum of two years of experience providing administrative support or performing similar office coordination duties in a professional setting.
- Demonstrated proficiency with productivity tools: Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Sites, and Groups) or Microsoft Office Suite (intermediate-level skills in Word, Excel, and PowerPoint).
- Excellent written and verbal communication skills, with a professional and welcoming demeanor.
- Strong organization, time management, and multitasking skills, with the ability to balance shifting priorities and meet deadlines.
- Commitment to exceptional customer service, collaboration, and support for students, faculty, and staff.
DESIRED QUALIFICATIONS:
- Experience using and maintaining basic databases or tracking systems (e.g., Access, Airtable, or comparable tools).
- Ability to adapt quickly to changing needs, handle multiple tasks simultaneously, and improve processes.
- Demonstrated curiosity and aptitude for learning new software platforms, improving office processes, and incorporating efficient digital tools.
PHYSICAL WORK ENVIRONMENT:
Work is typically performed in an office setting and onsite/in-person. The ability to sit at a desk/computer station, bend, stoop, walk, and generally move around the office to consult with others, work within a busy environment, and remain focused on tasks. Inventory management involves lifting and moving objects weighing up to 30 lbs. Excellent communication skills are essential. This includes the ability to speak clearly and fully comprehend both written and spoken English, as well as communicate effectively with people for whom English may not be their native language. This also includes the ability to produce written documents and narrated, recorded videos.
WORK SCHEDULE:
Monday - Friday 8 am - 5 pm. Occasional evening and weekend events may require adjustments to the regular work schedule.
COMPENSATION:
Salary range 37. Beginning salary is $38,868 - $43,716 annually, with progressive increases to $51,588, plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options, and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, 3 personal leave days, and 14 vacation days per year (incremental increases to 24 vacation days per year).
CONDITIONS OF EMPLOYMENT:
- You must document your citizenship or employment authorization within three days of hire.
