Position Summary
The Event Sales and Operations Coordinator supports the planning, coordination, and execution of events from initial inquiry through post-event follow-up. This role bridges the gap between sales and operations, ensuring that client needs are met while maintaining operational efficiency and event excellence. The coordinator assists with sales proposals, event logistics, vendor coordination, and on-site event management.
Key Responsibilities
Sales Support
- Respond to event inquiries and provide information about venue offerings, packages, and pricing.
- Assist with proposal creation, contracts, and client presentations.
- Maintain CRM systems, ensuring accurate client and sales data.
- Support the sales team in achieving monthly and annual revenue targets.
- Schedule and participate in site visits, walkthroughs, and client meetings.
Operations & Event Coordination
Coordinate event logistics, including catering, staffing, rentals, A / V, décor, and setup.Collaborate with internal teams (culinary, facilities, marketing, etc.) and external vendors.Create and manage event timelines, floor plans, and production schedules.Oversee event setup and breakdown; ensure all details meet client specifications.Monitor event budgets and track expenses for profitability.Handle client communication before, during, and after the event to ensure satisfaction.Administrative & Reporting
Maintain organized records of contracts, invoices, and client correspondence.Assist in creating post-event reports, feedback surveys, and performance metrics.Support the development of standard operating procedures (SOPs) for event execution.Qualifications
Bachelor's degree in Hospitality Management, Marketing, Business Administration, or related field (or equivalent experience).1-3 years of experience in event planning, sales coordination, or hospitality operations.Strong organizational and multitasking abilities with attention to detail.Excellent communication and interpersonal skills.Ability to work flexible hours, including evenings and weekends, based on event schedules.Preferred Skills
Knowledge of event production, catering, and vendor management.Experience with budget tracking and cost analysis.Creative problem-solving and client service mindset.Team-oriented with the ability to work independently under pressure.
