Position Summary

Reporting to the Senior Executive Director, the Associate Director of Institutional Giving plays a key role in securing funding from private and public sources, including foundations, corporations, and government agencies. As a vital member of the Association Grants Team, this role partners closely with the Directors of Donor Relations, YMCA Branch Leadership, and program staff to identify opportunities and coordinate institutional fundraising efforts across the organization.

The Associate Director is responsible for proactively researching and evaluating institutional funding prospects on an ongoing basis. Each month, the position produces 4–6 high-quality written deliverables, including letters of inquiry, grant proposals, RFP / RFQ submissions, and required reporting for secured grants.

Serving as both a principal writer and editor, the Associate Director crafts compelling proposals that reflect the YMCA’s mission, programs, and community impact. This position also prepares stewardship reports for institutional donors and plays a strategic role in aligning funding requests with organizational priorities. Exceptional writing, project management, and relationship-building skills are essential for success in this role.

Job Responsibilities

Grant Research & Prospecting

  • Conduct weekly research to identify and evaluate prospective funding sources, including foundations, corporations, and government agencies.
  • Maintain up-to-date records on new and existing funding opportunities within the organization’s tracking systems.
  • Regularly review and update donor and funder information to ensure accuracy and relevance.

Proposal and Grant Writing

  • Draft clear, concise, and well-structured grant materials tailored to a variety of audiences and funding requirements, including letters of inquiry, proposals, and supporting documents.
  • Translate programmatic information and community impact into compelling language for funders, drawing on interviews with program staff and demographic data.
  • Support the development and submission of detailed budgets and financial documents as required by funders.
  • Data and Systems Management

  • Enter and manage donor and grant opportunity information in relevant databases, ensuring alignment with internal protocols.
  • Track application and reporting deadlines, and maintain organized proposal and report files.
  • Manage a centralized grant calendar, pipeline, and clearinghouse to support strategic planning and coordination.
  • Reporting & Stewardship

  • Collaborate with program staff and leadership to prepare timely and accurate grant reports for funders, including financial updates and outcomes.
  • Assist in coordinating funder stewardship efforts, including site visits, briefing materials, and presentation documents.
  • Collaboration & Communication

  • Partner with the Senior Executive Director and Donor Relations team to engage with institutional stakeholders, including funder representatives.
  • Provide regular updates on grant-related activity and progress to the Senior xecutive Director.
  • Qualifications

  • Bachelor’s degree or equivalent professional and community experience
  • Excellent expository writing, editing, proofreading and organizational skills, including the ability to write persuasively in order to engage readers emotionally
  • Experience with donor database management and researching grant prospects
  • Ability to "ghost write" for various Y executives, staff, and volunteers
  • Work Environment & Physical Demands

  • The work environment for this position is primarily a professional office setting with the potential for hybrid remote work, depending on organizational needs and approval. The role involves frequent use of a computer, phone, and standard office equipment. The position requires regular collaboration with cross-functional teams, both virtually and in person, and may occasionally include travel to YMCA branches or funder locations throughout the Bay Area.
  • The physical demands of this job include prolonged periods of sitting at a desk and working on a computer. The role may occasionally require standing, walking, lifting materials (up to 25 pounds), and setting up for meetings or presentations. Visual and auditory abilities are required for reading documents, using digital tools, participating in video calls, and engaging in interpersonal communication.
