SEASONAL ADMINISTRATIVE ASSISTANT I

The City of Worcester is seeking qualified applicants for Seasonal Administrative Assistant I for the Division of Youth Opportunities (DYO) within the Department of Health and Human Services. The Seasonal Administrative Assistant I will provide administrative support for the hiring efforts for the Recreation Worcester seasonal staff and program participants. The position will work with the Department of Youth Opportunities team and assist with the seasonal recruitment, hiring, and onboarding process of seasonal staff, and will work with the Program Coordinator and the Special Projects Manager to complete payroll for seasonal staff and assist in procurement of supplies and equipment.

ESSENTIAL ELEMENTS :
- Coordinate with Recreation Worcester & Division of Youth Opportunities staff to handle day-to-day requests
- Assist in the preparation of data, supplies, and equipment vital to the daily operation of Recreation Worcester program sites
- Assist with the coordination of the hiring process by maintaining candidate databases, screen resumes, schedule interviews, and assist with the onboarding process
- Maintain and organize registration and contact information of program participants and staff
- Assist in the preparation of regularly scheduled reports and payroll
- Assist in creating the processes for and conducting data collection and surveys to assess program impact, participant engagement, and overall effectiveness
- Travel to various program sites as needed to support program operations, data collection, and staff coordination
- Work in both an office setting and outdoor setting at program sites, balancing between administrative tasks and on-site support
- Communicate with families regarding program information, participant needs, and general inquiries
- Answer phones, provide assistance, and direct calls as needed to support program operations

High School Diploma or equivalentPrevious administrative experience in an office settingMust pass a criminal background check (CORI & SORI)Excellent communication skillsProficient with Microsoft Office SuitePREFERRED QUALIFICATIONS :
One (1) year of administrative experience in an office settingOne (1) year of experience working with children and families from diverse cultural, socioeconomic backgrounds and abilitiesOne (1) year of experience facilitating activities and programmingSALARY : $17.50 hourly, part-time up to 40 hours, temporary, non-benefitted
