Role :
Unique position involving administrative, internet research, property management, vendor oversight / coordination, QuickBooks / posting A / P and A / R, Website Development, and more!
Monday through Friday; 8 : 30AM to 5 : 30PM
Daily involvement with other staff members on active projects
Reports directly to the President / CEO
Responsibilities :
Edit and reformat candidate resumes to the company's proprietary template for consistency and clarity (Microsoft Word) and upload them to our database (Big Biller / Top Echelon).
Answer VOIP phone system (RingCentral) and communicate with clients and candidates via VOIP and email (Outlook).
Perform data entry and digitally create and maintain iterations of documents within databases and shared internal drives (Microsoft 365).
Maintain job pipelines within the Applicant Tracking System (Big Biller / Top Echelon) and ongoing spreadsheets (Microsoft Excel).
Maintain job boards on the ATS.
Assist with market research and sourcing candidates on the internet using ZoomInfo, LinkedIn, and other tools.
Assist with marketing efforts by creating targeted contact lists for email blasts (ZoomInfo).
Schedule Teams meetings and maintain the company calendar (Microsoft Outlook).
Perform background checks and degree verifications (TruthFinder and Verified First).
Aid in finding contact information for potential candidates (ZoomInfo, TruthFinder, company websites, etc.)
Assist Financial Manager in posting A / P and A / R using Quickbooks.
Coordinate with outside suppliers / vendors.
Schedule Back Flow and Fire Inspection regulatory visits and coordinate HVAC, Plumbing, Electrical, and building maintenance with Property Manager and outside contractors.
Assist with website development.
Collect monthly rent and coordinate repairs with tenants.
Support the CEO and other staff members as necessary.
Ideal Candidate :
Must be highly organized and enjoy varied and diverse roles.
Has proficiency with :
Microsoft Word (word processing / formatting, creating PDFs from .docs)
Microsoft Excel (basic formulas and spreadsheet maintenance)
Microsoft Outlook (email, calendar maintenance, and Teams meeting management)
VOIP phone systems (preferably RingCentral)
Is familiar with :
Applicant Tracking Systems (ATS); preferably Top Echelon
B2B software; preferably ZoomInfo
Is technically savvy :
Understands how to create and maintain folders and documents using Windows OS / Microsoft 365
Can perform basic troubleshooting for office equipment (printers / scanners, cell phones, PCs)
Is creative when it comes to problem-solving and internet research
