Job Summary : We are seeking a highly organized and proactive Project Management Assistant to support project planning, coordination, and execution, with a strong focus on logistical support. This role is critical in tracking progress, preparing reports, maintaining project documentation, and facilitating stakeholder communication. The ideal candidate thrives in fast-paced environments, communicates clearly, and pays close attention to detail.
Key Responsibilities :
- Assist project managers with planning, budgeting, scheduling, and tracking project timelines, deliverables, and milestones, reporting variances or issues.
- Maintain and update project documentation, prepare presentations, status updates, and reports for C-level leadership or clients.
- Manage tracking information for large shipment volumes, coordinating lead times and delivery schedules to optimize logistics and ensure on-time delivery.
- Facilitate seamless communication with internal teams and external stakeholders to support decision-making and progress tracking
- Contribute to holistic oversight of the entire project lifecycle
- Use project management tools / software to support task tracking and collaboration.
- Utilize accounting software to process invoices, track payments, and maintain accurate financial records.
Skills and Qualifications :
Bachelor's degree in Business Administration, Project Management, or a related field (or equivalent work experience).13 years of experience in an administrative or project support role.Proficiency with MS Office Suite (especially Excel, Word, and PowerPoint).Strong organizational skills and attention to detail.Excellent communication and interpersonal skills.Ability to multitask and prioritize in a fast-paced environment.Problem-solving mindset and willingness to learn.Identify and resolve logistical or scheduling issues to minimize disruptions to the project timeline.Adaptable and responsive to changing project needs and priorities.Preferred Qualifications (Nice to Have) :
Certification or coursework in project management (e.g., CAPM, PMP, PRINCE2).Experience using project management software.Prior experience supporting cross-functional teams.Experience in a government contracting environment is highly desirable.Working Conditions :
