Special Projects Coordinator

Health Promotion Council of Southeastern PA, Inc. (HPC) is seeking a full-time Special Projects Coordinator to lead and support key tobacco prevention and control initiatives across Southeastern Pennsylvania. The Coordinator will serve as the primary lead for the STAR (Smoking Treatment Accreditation and Recognition) program, while also coordinating and contributing to related projects such as smoke-free outdoor policy campaigns, youth engagement, and partnership development.

This role focuses on advancing policy, systems, and environmental change strategies that reduce tobacco use and exposure. Core responsibilities include managing the STAR accreditation process, providing technical assistance to healthcare and community-based organizations, facilitating stakeholder meetings, and coordinating communications and outreach efforts. The Coordinator will also handle key administrative tasks, including Nicotine Replacement Therapy (NRT) ordering and invoice tracking.

The ideal candidates will have strong organizational and communication skills, comfort engaging clinical and community partners, and the ability to manage multiple priorities across programs.

The Special Projects Coordinator reports to the Regional Tobacco Program Manager and collaborates closely with the Southeastern PA Tobacco Control Team to ensure effective implementation of STAR and other regional initiatives.

Responsibilities :

  • Implement and refine the STAR Accreditation process and procedures under the direction of the Regional Tobacco Program Manager.
  • Recruit hospitals, health centers, dental offices, rural health clinics, and other healthcare entities to participate in the STAR program.
  • Promote the STAR program through presentations for various audiences as requested.
  • Provide instruction, guidance, and technical assistance to STAR applicants throughout the accreditation process.
  • Organize and facilitate biannual meetings of the STAR Advisory Group and maintain regular communication with participating organizations.
  • Facilitate meetings with prospective STAR applicants to assess readiness and provide program information.
  • Develop and update materials to market, promote, and increase visibility of the STAR program in collaboration with HPC's Outreach and Recruitment Manager, PHMC Communications and the contracted media consulting firm.
  • Conduct annual assessments of the STAR Accreditation program's outcomes and contribute to strategic planning for growth and expansion.
  • Cultivate and maintain relationships with STAR program champions across healthcare systems.
  • Assist with internal efforts to build the capacity of the STAR program.

Coordinate policy advocacy efforts including Young Lungs at Play, Puppy Lungs at Play, Smoke-free green spaces, and other regional smoke-free outdoor campaigns.

  • Develop promotional materials and messaging aligned with campaign goals and target audiences.
  • Support implementation of local policy change strategies through stakeholder engagement and community education.
  • Represent HPC in meetings with healthcare providers, public health stakeholders, and community coalitions to promote tobacco prevention and cessation.

  • Contribute to website content updates, digital resource development, and promotion of tobacco cessation services.
  • Support special assignments and emerging projects as directed.
  • Manage Nicotine Replacement Therapy (NRT) ordering systems or coordinate with designated staff to fulfill requests from partner.

  • Track and support invoice submissions and ensure timely follow-up on administrative requirements.
  • Assist with data collection, reporting, and evaluation of project outcomes to inform continuous improvement.
  • Collaborate with the HPC Tobacco and Advocacy Institute teams to ensure alignment and integration across initiatives.
  • Participate in internal team meetings and contribute to shared planning and communication efforts.

  • Experience :

    1-2 years of project management experience

    1-2 years of experience in community organization

    Education Requirement :

    Bachelor's degree in public health, communications and / or related field.
