Administrative Assistant

The Administrative Assistant position provides administration, financial management, and record keeping support to the Fire District. This position requires an individual who possesses excellent organizational skills and the disposition to work well with other department members, local government representatives, and the public. The position answers to and supports the Business Manager. In the absence of the Business Manager, the Administrative Assistant reports to the Fire Chief.

Essential Job Functions :

  • Maintain confidentiality about information learned on the job.
  • Understand or possess the ability to learn the department policies and procedures.
  • Assist the Business Manager and Fire Chief with all aspects of budget preparation and management, including budget records.
  • Maintain complete and accurate files on department personnel including recruits, existing members and past members.
  • Accurately prepare, proofread and edit correspondence, reports and other documents.
  • Prepare statistical information as requested.
  • Routinely update the department website and other agency social media accounts as new information is supplied by other department members.
  • Perform other related duties and special projects as requested.
  • Must be at least 18 years of age and have the ability to work independently.

Required Skills and Abilities :

  • Ability to work alone.
  • Possess the ability to concentrate and accomplish tasks despite numerous interruptions.
  • Possess good working knowledge of personal computers with Microsoft Office software and be familiar with computer record management and accounting software.
  • Must be willing to learn new software programs specifically designed for the fire service.
  • Must be physically and mentally capable of developing, implementing, and utilizing a records management system, including filing documents and records.
  • Possess excellent interpersonal skills with the ability to communicate effectively orally and in writing in English with the public, elected officials, department heads and other fire department members.
  • Must possess a valid class C driver's license.
  • Hours of Work :

    The department maintains regular office hours for the public. The hours of work for the position of Administrative Assistant will typically be between the hours of 8am and 5pm. The Administrative Assistant may be requested to work additional hours including some evening and weekend hours as needed to support District Operations.

    Salary and Benefits :

    The position of Administrative Assistant is a non-represented, part-time, regularly scheduled, at-will position. The Administrative Assistant position starting monthly pay range is $1872.00 to $2074.80 (DOE). Employees in this classification do not receive paid vacation time off and are not eligible for employer paid deferred compensation or employer paid healthcare. Under the Healthy Workplaces, Healthy Families Act of 2014, all California Employers must provide paid sick leave to their employees. This includes temporary, part-time and seasonal employees. Employees with 30 or more days of employment will accrue one hour of sick leave for every thirty hours worked (overtime hours do not count towards the accrual). Employees in this classification are eligible to make tax deferred employee paid contributions to the District's 457 plan.
