- Estimated Pay : $58,000 - $60,000 (negotiable)

- Period of Performance : 01 November 2025 – 31 October 2030 (Option to Extend Services)

Working Hours
Work will be scheduled generally from 8 : 30 a.m. to 5 : 30 p.m., Monday through Friday. However, there may be times when the employees must work after duty hours and / or on weekends to support specific tasks. Although the schedule may have to be flexible, it will not exceed 40 hours per week. Temporary alternate work locations may be assigned.
Mandatory Qualifications
High School diploma required, higher education preferredAt least 1-3 years of relevant work experience in a professional office environment as a support assistant or receptionist, or equivalent position.Experience handling phone calls, emails, and mail, serving as the point of contact for internal and external communicationExperience collecting, sorting, and distributing incoming mail; ability to maintain records of receipt, mailing dates, and other required informationAbility to ensure appropriate mailing and / or shipping of packages, letters, etc.Experience managing calendars, scheduling meetings, appointments, and greeting high-level guestsExperience creating and distributing correspondence, reports, and other documentsExperience providing general office support like various administrative tasks, data entry, filing, and customer serviceExperience with upkeep and setup of all conference and training roomsAbility to manage multiple tasks and prioritize effectivelyAbility to manage the receptionist areaEffective written and verbal communication skills for interacting with various individualsProficiency in office software and equipmentPhysical ability to move large number of files and / or file boxesCopies of all degrees / certifications and resumes must be forwarded to careers@fidelitypartners.org.
Duties / Responsibilities :
There are eight (8) copier areas / workrooms throughout the agency and one (1) mail room. The Contractor shall :
Review, process, and log all incoming unclassified mail and packages. Check and verify the presence of all attachments.Contact the originator or appropriate staff member if discrepancies are found. Distribute mail and packages to staff following the USTDA Correspondence Guidelines. Maintain entries to the Correspondence log.Review and distribute incoming agency faxes and electronic documents to staff in accordance with the USTDA Correspondence Guidelines. Check the Agency's general email accounts daily and distribute emails to the appropriate office or staff person.Pick up outgoing mail and express delivery pouches and deliver to the post office and other off-site locations as required, including packages via commercial delivery vendors as required.The contractor shall maintain a well-organized, well-stocked mail room and other work areas throughout the agency that meet the needs of the Agency. Ensure the agency copier areas / workrooms are continually stocked with supplies, including paper, letterhead, pens, and other supplies, and are maintained in a well-organized and neat manner. Notify the Office of Administration when required stocks of papers, forms, and supplies are low and / or when mailroom equipment is not operational.
