Your Work and How You'll Make a Difference :
The Patient Eligibility and Authorization Team Lead (Care Readiness Team Lead) serves as a key resource and working leader within the department. This role is responsible for supporting day-to-day operations of the authorization team, ensuring insurance verification and authorization processes are completed accurately and efficiently for ABA and diagnostic services. In addition to maintaining a reduced caseload, the Team Lead provides hands-on guidance to Patient Eligibility Authorization Specialists, assists with training and onboarding, addresses escalated issues, and supports continuous improvement initiatives. The ideal candidate will demonstrate strong leadership, problem-solving, and communication skills, and possess a detailed understanding of payor guidelines and insurance workflows.
Responsibilities :
Serve as the primary point of support for Patient Eligibility Authorization Specialists regarding process questions, issue resolution, and daily task execution.
Maintain a working knowledge of insurance payor guidelines, ensuring team adherence to established policies and procedures.
Manage a partial caseload while assisting with team assignments and workload balancing to ensure timeliness and accuracy.
Support the onboarding and training of new team members, including the development of training materials and standard operating procedures.
Conduct real-time quality checks and provide constructive feedback to improve performance and consistency.
Communicate effectively with clinical, intake, billing, and RCM leadership teams to resolve barriers to successful insurance verification and authorization.
Monitor daily metrics, productivity, and performance standards, reporting trends and opportunities to the supervisor.
Escalate complex authorization or eligibility issues to appropriate leadership with thorough documentation and proposed resolutions.
Assist in tracking and responding to payor updates, guideline changes, and authorization process revisions.
Foster a collaborative team environment aligned with BI's values, emphasizing patient-centered care and operational excellence.
Provide backup support to the supervisor when needed, including attending meetings and facilitating internal communication.
Perform other duties as assigned.
Outcomes :
Improve Team Performance and Accuracy- Provide real-time support and conduct quality checks for Patient Eligibility Authorization Specialists to improve accuracy and adherence to insurance guidelines.
Achieve a 95%+ accuracy rate in insurance verification and authorization tasks across the team.
Conduct a minimum of 10 quality reviews per week and provide documented feedback.
Reduce rework or escalation rates due to processing errors by 20% within six months.
Enhance Training and Onboarding Effectiveness- Lead the onboarding of new team members and update training materials to improve performance consistency.
Ensure 100% of new hires complete training within the first 30 days.
Develop or update at least one core training document or resource per quarter.
Optimize Workflow and Workload Distribution- Assist in managing team assignments and caseloads to balance workload and maintain timely task completion.
Maintain average task completion within 24-48 hours of receipt for 98% of cases.
Monitor daily metrics and report workload imbalances weekly.
Complete 100% of Weekly Team Lead checklist by the designated deadline.
What We Are Looking For :
High school diploma or equivalent required; associate or bachelor's degree preferred.
Minimum of 1 year experience as a Patient Eligibility and Authorization Specialist at Behavioral Innovations or equivalent.
3-5 years of experience in healthcare insurance verification, authorizations, or revenue cycle management, preferably in a behavioral health setting.
Demonstrated ability to meet / exceed performance expectations and lead by example.
Excellent written and verbal communication skills with a strong focus on collaboration and customer service.
Ability to manage multiple priorities in a fast-paced environment with strong attention to detail.
Proficiency in Electronic Medical Records (EMR), CRM systems, and insurance portals.
Proven problem-solving skills and initiative.
Ability to maintain confidentiality and adhere to HIPAA standards.
