Job description

Senior Administrative Assistant

Our client is a growing organization within the manufacturing space, seeking a confident and resourceful Senior Administrative Assistant. This individual will support executive-level leaders and play a key role in ensuring daily operations run smoothly.

The Senior Administrative Assistant will provide high-level support to senior leadership, including a VP and CEO's executive team. This role requires a proactive and adaptable professional who can handle confidential matters, manage shifting priorities, and communicate effectively with executive stakeholders.

Key responsibilities include :

  • Managing executive calendars, scheduling meetings, and coordinating interviews.
  • Handling last-minute travel changes and expense reports using Concur.
  • Serving as the point of contact for executives, providing updates and relaying information.
  • Supporting with occasional office errands such as food pickups or small tasks.
  • Assisting with visitor / vendor check-ins and employee onboarding check-ins.
  • Coordinating meeting logistics and ensuring proper communication among attendees.
  • Providing backup support to the Executive Assistant to the CEO as needed.

Qualifications include :

  • 3+ years of experience supporting senior leadership (VP, C-Suite, or Director level).
  • Strong proficiency in Microsoft Office Suite.
  • Excellent communication and interpersonal skills with confidence to interact directly with executives.
  • Highly adaptable, proactive, and comfortable handling both routine and last-minute requests.
  • Able to manage sensitive information with discretion.
  • Professional demeanor and ability to maintain composure under pressure.
