Executive Assistant

We are seeking a highly organized and proactive Executive Assistant to provide temporary support to the VP of Enrollment Management during a maternity leave coverage period. The successful candidate will play a key role in ensuring smooth day-to-day operations, managing schedules, and serving as a trusted point of contact both internally and externally. This is an excellent opportunity for a skilled Executive Assistant to contribute their expertise in a dynamic and fast-paced environment.

Minimum Qualifications :

  • Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role.
  • Exceptional organizational and time-management skills with the ability to prioritize.
  • Strong written and verbal communication abilities.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and / or Google Workspace.
  • Ability to work independently, take initiative, and anticipate needs.
  • Professional demeanor and high level of confidentiality.

Major Responsibilities :

  • Provide front-line assistance in greeting visitors, answering phones, and responding to emails during peak times in a professional and friendly manner.
  • Coordinate data, reports, and student lists related to outreach, retention, or special initiatives.
  • General administrative support such as sorting and distributing mail, maintaining office appearance, ordering office supplies, scheduling maintenance, filing, and archiving, approving annual and sick leave reports, managing p-card statements, paying institutional membership fees, running errands, and making deliveries as needed.
  • Coordination of programs or initiatives to support the Division : This includes planning and scheduling activities, developing processes, facilitating communication and collaboration, maintaining documentation and reporting on progress and outcomes.
  • Provide logistical support for the Commencement and other key events and programs, this may include coordinating multiple offices, managing event details, schedules, transportation, day-of support, etc.
  • Provide administrative support for using software to support college functions, including Workday and Slate.
  • Update and maintain relevant information, including the Student Handbook, Academic Handbook, Policy Library, appropriate forms, and webpages.
  • Approve and manage a conference room space through 25Live reservation system and address any questions guests may have.
  • Manage the Vice President's calendar, including travel, meetings, conference, speaking engagements and itineraries.
  • Organize meetings, including scheduling, sending reminders, preparing agendas, and taking minutes.
  • Manage purchasing to support the Vice President and Division as necessary, including following state and college fiscal policy and maintaining a College purchasing card and reconciling appropriately.
  • Consistently exercise discretion and professional judgement.
  • Maintains knowledge and awareness of digital accessibility including the American with Disabilities Act and Section 508.
  • Perform other duties as assigned.

  • Non-Exempt
  • Part Time 0.75FTE

  • This position is scheduled for 30 hours per week, Monday through Friday from 8 : 00 a.m. to 5 : 00 p.m. Flexibility in scheduling is available.
  • Salary

    The hourly rate for this position is $18.51.
