Summary : The Contract Administrator is responsible for supporting the supervisors and sales staff with preparation of contracts / proposals for presentation to clients and tracking of same on excel spreadsheets, taking calls for estimates / tracking incoming calls & dispersing to correct administrative divisions. Provide additional assistance and support for Operations as needed.
Essential Functions :
- Manage all aspects of proposal preparation; edit work for accuracy including calculation of prices, spelling, and grammar.
- Prioritize and plan work activities to deliver proposals / contracts when due.
- Meet tight deadlines; work tracking proposals / sales on Maintenance / Improvements and Construction Conditioning sheets.
- Provide updated conditioning sheets weekly for Operations Team during weekly Conditioning / Sales meeting.
- Maintenance of “work in progress” spreadsheet.
- Enter all new jobs into LMN Time, including any backup documents / pictures needed.
- Daily schedule review.
- Prepare weekly skipped property list for maintenance supervisor.
- Year-end renewing of all maintenance jobs to include, entering new year schedule.
- Update weekly schedule changes as requested, to include route changes, day, and hours.
- Track all proposals in CRM from start to finish and update client information.
- Work well under pressure.
- Preparing handoffs for Operations ensuring that all job hours / materials are accounted for.
- Serve as contact for commercial properties to include, making sure WO #’s are processed in the
required time.
Contact for all Public Housing work order requests that come into the office, including entering into appropriate tracking sheets, CRM, and entering job into LMN time.Assist in preparation of the sales projection spreadsheet.Work closely with the Office Manager.Provide general / telephone support to administrative staff as needed.#hc77221
