Administrative Coordinator

Prosperity Partners (Prosperity) is a Chicago-headquartered public accounting firm offering best-in-class tax accounting and personal finance services to dynamic businesses high net-worth individuals and family offices throughout the United States. With offices nationwide we are seeking an organized detail-oriented Administrative Coordinator to support our growing practice in Iselin. The candidate must possess the following characteristics: exceptional interpersonal and communication skills strong writing skills high ability to multi-task meticulous attention to detail a strong desire to learn willingness to work in a team-oriented environment and the ability to prioritize quickly and efficiently. The candidate will serve as an operational resource for office administration billing support and workflow coordination.

The Administrative Coordinator provides comprehensive administrative billing and workflow support for the Iselin office. This role is responsible for assisting with billing processes and reporting managing workflow systems supporting internal teams through administrative overflow and serving as a key point of contact between internal departments IT and partner offices.

Successful efforts can lead to additional responsibilities training and education in other areas of the firm. Candidates that demonstrate hard work enthusiasm and ethical behavior will have excellent opportunities for annual advancement. Key Responsibilities:

  • Print and distribute WIP reports to management for billing review and processing;
  • Assist with billing preparation reporting and recordkeeping in billing software;
  • Support billing administrators and management with ad hoc billing requests and overflow;
  • Maintain workflow management software for accurate record keeping and reporting;
  • Monitor assignment progress to ensure deadlines are visible tracked and escalated when necessary;
  • Provide administrative overflow support to firm leadership and operational teams;
  • Assist with general office administration document coordination and internal requests;
  • Support internal communication and coordination across departments;
  • Act as a primary administrative liaison for IT-related requests issues and coordination;
  • Partner with internal teams to ensure operational needs are communicated and resolved efficiently.

  • A bachelors degree from a four-year accredited university;
  • Exceptional organizational skills with strong attention to detail;
  • Ability to manage multiple priorities in a fast-paced deadline-driven environment;
  • Strong written and verbal communication skills;
  • High level of professionalism and discretion;
  • Proactive team-oriented mindset with a willingness to assist where needed;
  • Experience with Aiwyn and CCH Axcess preferred but not required;
  • Availability to work in the Iselin office 4 days per week.
