We are seeking a detail-oriented and proactive Accounts Payable Specialist with proven experience in the construction industry to join our finance team. This role is critical to maintaining accurate financial records, managing vendor relationships, and ensuring timely payments across multiple projects and cost centers.

Job Details

Key Responsibilities

  • Process high-volume vendor invoices, ensuring proper coding, approvals, and compliance with company policies.
  • Reconcile vendor statements and resolve discrepancies in a timely and professional manner.
  • Manage weekly check runs, ACH payments, and wire transfers.
  • Maintain and update subcontractor and supplier accounts, including W9s, COIs, and lien waivers.
  • Collaborate with project managers to ensure accurate job costing and timely invoice approvals.
  • Track and resolve outstanding payments and uncashed checks.
  • Assist with month-end and year-end close processes, including 1099 preparation.
  • Maintain organized and accurate AP documentation, both physical and digital.
  • Identify and implement process improvements to enhance efficiency and accuracy.

    • Qualifications

  • 3-7 years of accounts payable experience, preferably in the construction industry.
  • Familiarity with construction accounting software (Sage is preferred).
  • Strong understanding of job costing, cost centers, and project-based accounting.
  • Excellent communication skills and ability to work with vendors and internal teams.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Bachelor’s degree in Accounting, Finance, or related field preferred.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Outgoing and assertive personality—comfortable engaging with vendors and construction teams.
  • Strong organizational skills and attention to detail.
  • Self-starter with a proactive approach to problem-solving.
