General Position Summary :
Manages all of the clerical, scheduling, patient accounting duties for the clinic.
Essential Functions / Major Responsibilities :
- Conducts telephone communication for the clinic; answers calls, takes messages and makes telephone calls at the request of physicians or clinic staff.
- Delivers messages promptly, and appropriately.
- Schedules all cases for O.R. appropriately and communicates with support services, the O.R. needs. Includes all add-ons and emergencies.
- Uses and maintains equipment efficiently and effectively.
- Reports any office equipment failure.
- Prepares the surgery schedule and call sheets, and distributes to the appropriate departments.
- Monitors the monthly stats for all surgical procedures, special procedures room; reports monthly.
- Monitors the individual monthly stats for all surgeons; reports same monthly.
- Types all correspondence, memorandums, staff meeting minutes, policies & procedures, and any other business asked.
- Assists with the orientation of new employees.
- Reports any unusual occurrences and / or incidents.
- Conforms to hospital / clinic dress code.
- Promotes harmonious relationships and favorable attitudes among the healthcare team.
- Reviews all personnel and departmental policies annually.
- Reviews all personnel policies on an annual basis.
- Displays proper etiquette and mannerisms that reflect the SHINE behavior standards.
- Promotes the patient safety standards as a core value of the organization.
Competency :
Be educated in as many cases as possible : What are they? Open vs laparoscopic? Why are we doing it?Can schedule essentially all "basic" / smaller cases with little to no guidanceUnderstand the OR / SPR blocks at both Main & OSCObtain / maintain good rapport with scheduling staff at both facilities (schedulers, POE nurses, anesthesia, etc.)Develop basic knowledge of insurance ins and outs - which plans require authorizationRetaining process and protocol for scheduling cases procedures - equipment needed, length of cases, first assist, admits, etcCommunicate well with patients regarding surgical information, preop instructions, postop instructionsSchedules more complex cases.Stay ahead of block time cancellations with the facilities in a timely manner.Better understand insurance - know when it is feasible to add on a last minute surgery without authorization issues.All of the above but with confidence that scheduler can do the job on their own if no one is around to assist.Secondary Functions :
Participates in departmental and association wide informational meetings and in- services, including staff meetings, association wide forums, and seminars.Reviews department and association wide policies and procedures annually.All other duties as assigned.Additional Responsibilities :

This position requires operational knowledge of all equipment in the clerical areas, including : fax, printers, copy machine, phone systems, and computer programs (including MS Office, e-mail, internet, and the Hospital Information Systems).
This employee must be service oriented and have excellent customer service skills, computer skills, organizational skills, multitasking skills, professional interpersonal skills, time management skills, the ability to prioritize work, and telephone etiquette.
Must be able to read, write, speak, and understand English.
Education, Licensures, and / or Experience :
High School diploma or equivalent (required).Medical Terminology (preferred).Basic Computer Skills (required).Physical Demands & Job Conditions :
Exerts up to 10 lbs. of force occasionally and / or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Involves sitting most of the time, but may involve walking or standing for brief periods of time. The worker is exposed to extensive computer work, extensive close work, and encounters with upset / disturbed individuals.
Physical motions include finger dexterity, standing, walking, stooping, crawling, talking, reaching, feeling, sitting, bending, kneeling, climbing, grasping, listening / hearing, handling, lifting up to 10 pounds, and repetitive motions of the hands, wrists, and feet.
