RFI / RFP Specialist (Bilingual : English-Spanish)

Location : Sweetwater, Miami, FL. 33182

Contract Type : Temp to HIRE

Salary Range : $65,000 - $70,000 per year (open to market-aligned negotiation)

Shift : Onsite at the Miami office, with a hybrid schedule after 60 days.

Job Description :

We are seeking a proactive and detail-oriented RFI / RFP Specialist to support strategic proposal development and due diligence documentation for a global Life Sciences division. This role is central to driving business growth and client acquisition through the preparation of compelling, compliant, and high-quality proposals and responses to customer inquiries. The ideal candidate is fluent in both English and Spanish, with a strong commercial mindset and experience coordinating across departments. You will work closely with cross-functional teams including Sales, Operations, Legal, and Quality to ensure the delivery of timely, aligned, and impactful documentation.

Key Responsibilities :

• Proposal & Bid Management
• Prepare, write, and structure RFP responses aligned with company capabilities and strategic goals.
• Collaborate with internal teams to ensure compliance and thoroughness in all submissions.
• Customer Questionnaires (RFI)
• Manage and respond to various client questionnaires such as vendor qualifications, quality assessments, compliance, and data privacy (e.g., GDPR).
• Ensure responses are aligned with client expectations and company positioning.
• Due Diligence Support
• Compile documentation for audits, background reviews, and client-specific evaluations.
• Maintain detailed, up-to-date records for all due diligence materials.
• Cross-Functional Collaboration
• Coordinate with multiple departments to source accurate and up-to-date information for proposals and responses.
• Project Management
• Track all proposal deadlines and deliverables, maintaining transparency and timeliness.
• Create performance metrics and dashboards to monitor efficiency and ensure continuous improvement.
• Repository Maintenance
• Build and manage a centralized database of proposal resources and completed RFI / RFPs to enhance future response processes.
