Your Impact and Key Responsibilities
- Serve as the Director of First Impressions : Manage all inbound communications and client greetings with exceptional polish, ensuring a seamless, confidential, and welcoming experience that sets the tone for our entire practice.
- Command the Operational Rhythm : Execute daily, weekly, and monthly operational controls with near-perfect accuracy, from transaction reporting and compliance documentation to managing the firm’s scheduling and logistics.
- Drive Proactive Meeting Preparation : Own the end-to-end preparation process for all client meetings, assembling comprehensive, accurate files to ensure our advisors are fully equipped to deliver value.
- Manage Client Communications and Marketing Logistics : Deploy marketing communications via our CRM platform and coordinate logistics for client and prospect workshops, serving as the key liaison for marketing initiatives.
- Uphold Impeccable Data and Documentation Integrity : Maintain meticulous client records, notes, and CRM data, operating under the principle that “if it’s not documented, it didn’t happen.”
- Become the Firm’s Central Point of Contact : Act as the trusted hub for resolving operational issues, coordinating with partners, and ensuring every request is tracked to a successful conclusion.
What We Require
A minimum of two years of experience in a professional administrative, client service, or operational role where precision and accountability were paramount.Demonstrated fluency with the Microsoft Office Suite (Word, Excel, Outlook) and the ability to master new software systems rapidly.An impeccable professional presence, with outstanding verbal communication and written grammar skills.An obsessive commitment to organization, accuracy, and follow-through, with the ability to operate with a high degree of autonomy.The ability to work full-time in our Penn Laird, VA office.What Will Set You Apart
