Job Title : Accounts Payable Clerk / Bookkeeper

Position Overview :
We are seeking a detail-oriented and organized Accounts Payable (AP) Clerk / Bookkeeper to join our growing construction team. This full-time role is responsible for maintaining accurate financial records, managing vendor relationships, and supporting day-to-day accounting operations. The ideal candidate will have experience in construction accounting and be proficient in QuickBooks, Knowify, and Vista by Viewpoint.
Key Responsibilities :
- Process and code vendor invoices, ensuring accuracy and proper job cost allocation
- Maintain up-to-date and accurate records of all payables using QuickBooks, Knowify, and Vista by Viewpoint
- Reconcile vendor statements and resolve invoice discrepancies in a timely manner
- Prepare and process weekly check runs and ACH payments
- Track and manage lien waivers, subcontractor payments, and compliance documents
- Maintain subcontractor records, including W-9s, COIs, and executed agreements
- Assist with payroll entry and job costing reports as needed
- Record daily financial transactions and manage job progress billing
- Perform monthly bank and credit card reconciliations
- Support the month-end close process and assist in preparing internal financial reports
- Maintain organized digital and physical files for financial and project-related documentation
- Collaborate with project managers to ensure accurate job tracking, purchase orders, and cost control
- Assist with general administrative support for the accounting and project management teams
Qualifications :
2+ years of experience in accounts payable and bookkeepingExperience in construction accounting is strongly preferredProficiency in QuickBooks, Knowify, and Vista by Viewpoint is requiredStrong understanding of accounting principles and job cost trackingExcellent attention to detail and organizationAbility to manage multiple priorities and meet deadlines independentlyProficient in Microsoft Excel and other Office applicationsStrong written and verbal communication skills
