Position Summary :

The Coordinator, Events plays a key role in supporting The Health Management Academy's (THMA) meetings and events. Working closely with the Events team and Forum Directors, this position supports smooth planning, coordination, and on-site execution of events. This position provides essential logistical and administrative support that keeps the Events team and our member events operating efficiently.

Primary Job Duties :

  • Support the Events team lead at local events, including all prep logistics and being on-site during the event with them.
  • Support all THMA Event planning by assisting with logistics and execution, including printing, copying, preparing name badges / tents, and assembling meeting materials.
  • Assist with internal coordination across departments to ensure event needs are met.
  • Manage calendars for the Events team, including scheduling internal and external meetings.
  • Prepare meeting materials such as reports, bios, and prep packets in advance of calls and events.
  • Take notes during team meetings and circulate action items.
  • Pull and analyze reports from event systems; provide status updates as needed.
  • Maintain team organization through project management tools such as Asana and Microsoft Office 365.
  • Track, order, and manage event supplies and shipping needs.
  • Other duties as assigned.

Minimum Qualifications :

  • Bachelor's Degree from an accredited college / university
  • 0-2 years of experience in corporate events
  • Interest in the corporate event planning industry
  • Ability to travel as needed
  • Ability to come into the office 2-3 times a week

  • Physical Demands :

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required talk and hear. Specific vision abilities required by the job include close vision, and distance vision. Ability to lift over 20 lbs.

    Salary Range

    $55,000—$55,000 USD
