Facilities Coordinator (Onsite)

As a CBRE Facilities Coordinator, you will serve as the primary onsite representative, ensuring the smooth day-to-day operations of a single-floor commercial office. This highly client-facing role requires a confident, outgoing professional who can build strong relationships with executives, employees, vendors, and contractors.

This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans.

What You'll Do :

  • Serve as the primary on-site representative, ensuring compliance with all procedures, policies, and reporting standards for landlords, tenants, and service providers.
  • Act as the first point of contact for client inquiries; manage and process work orders from initiation to completion, including preventive maintenance tasks.
  • Collect and compile performance and progress reports to support operational tracking and decision-making.
  • Maintain accurate filing of work orders, proposals, departmental documents, and vendor submissions.
  • Respond to inquiries and resolve complaints from clients, colleagues, and supervisors in a professional and timely manner.
  • Perform administrative duties including front desk coverage, visitor sign-in, and badging.
  • Coordinate and direct vendors on-site, providing guidance and access as needed.
  • Ensure facility readiness, including lighting and common area checks (e.g., cafeteria).
  • Build and maintain positive client relationships through confident, professional, and client-facing interactions.
  • Utilize SharePoint and other software tools for documentation and workflow management.
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
  • Impact through clearly defined duties, methods, and tasks are described in detail.
  • Deliver own output by following defined procedures and processes under close supervision and guidance.

What You'll Need :

  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with an inquisitive mindset.
  • Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
