Executive Assistant
The Department of Medical Assistance Services (DMAS) is excited to offer a competitive opportunity to serve as the Executive Assistant. The selected competitive candidate will provide exceptional delivery of services to the Director's Office. Job responsibilities will include, but are not limited to : the Executive Assistant must be creative and enjoy working within a busy, environment that is mission-driven and results driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, technology savvy and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant provides administrative and confidential administrative support to the Chief Deputy and the Deputy for Technology and Innovation. This individual will help the two Deputies manage resources and information and assist with scheduling, reports, and planning meetings and project activities. Duties may be clerical, administrative and project-based and include scheduling travel, arranging meetings, handling information requests, preparing reports and correspondence as well as setting up conference rooms for virtual meetings, assist with setup and operations of public meetings and assist with issues regarding technology operations of virtual conference rooms for the executive leadership team. This position is often privy to confidential information and as such, requires diplomacy and discretion. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Deputy of Technology and the Chief Deputy. The business needs for this position have in-office requirements to include but are not limited to setting up conference rooms for in-person meetings and taking notes during in-person stakeholder meetings. Competitive candidates will meet these minimum qualifications : considerable experience planning and coordinating business management or administrative and support services for the Department of Medical Assistance Services (DMAS) Director's Office. Considerable knowledge and / or experience ensuring the program or unit operates at optimum efficiency. Considerable professional experience writing, editing, organizing, and researching. Experience handling confidential information and be adaptable to various competing demands. Considerable experience in Microsoft Products including MS Word, EXCEL and PowerPoint and MS Teams. Experience analyzing, interpreting, and applying federal and state laws / regulations. Experience meeting deadlines in a fast-paced environment. Experience communicating with internal and external stakeholders. Experience setting up audio visual equipment for internal and external meetings.
