Job Title : Administrative Assistant
Pay Rate : $18 / hr.
Schedule : 8 AM- 4 : 30 PM
Benefits : Medical, Dental, AD&D
Position Overview : Provides administrative support to the Production and Quality Assurance departments. Work with all Departments and Senior Management to ensure timely processing of orders that meet or exceed our customer’s expectations. This position reports directly to the Plant Manager.
Essential Job Functions
- Processes Orders : Follow appropriate SOPs to generate the batch production records applicable to the Order received from the Traffic Department.
- Maintain office files in paper and electronic form.
- Distributes mail.
- Answer phones and greet visitors.
- Operates office equipment such as printers, copy machines, fax machines and serves as liaison with service and vendor personnel.
- Attends and participates in meetings and committees and may take minutes or notes and perform follow-up activities.
- May assist in handling personnel or payroll functions, actions, forms and records.
- Processes incoming invoices by matching up to Purchase Orders and Packing Lists and having them approved by the Plant Manager for payment through the NY office.
- Performs data and file gathering activities and may prepare reports or summaries of information.
- Type correspondence, reports, certificate of analysis and other documents.
- Maintains files and distributes copies of controlled documents as directed by the Quality Assurance Manager.
- Communicate with Supervisors, Peers and Management to detect problems in and to ensure Food Safety and Defense.

Requirements
High School Diploma or equivalent, 3-5 years office experience preferred.Other Skills / Abilities
Knowledge of use and operation of personal computers and associated standard office software including Microsoft Office applications and Adobe.Knowledge of office resources and equipment including phones and fax machines / copy machines.Clear written and verbal communication skills.#IND-M
