Position Summary

This is a highly visible position, requiring a motivational, high energy level, and a positive attitude; demonstrating a commitment to “World Class Customer Service” while promoting a positive work environment. This individual is responsible for performing standard administrative clerical duties, accomplishing day-to-day tasks and provides support to business operations. This position requires strong initiative to work independently and exercise professionalism, discretion and independent judgment when acting on behalf of the organization.

Detailed Responsibilities

  • Manages the company’s lobby / reception area.
  • Greets and directs all visitors, including vendors, clients, job candidates, employees, and customers.
  • Directs appointment and meeting attendees on the day of arrival to correct meeting room.
  • Manages Executive and Administrative conference rooms and meeting calendars. This includes managing maintenance for the wall, light bulbs and projectors.
  • Provides assistance with calendaring, meeting coordination and preparation, and communicates, both written and verbally, with internal and external customers.
  • Ensures completion of deliveries, paperwork, sign-in, and security procedures.
  • Maintains the executive breakroom and employee lunch areas to include stocking soda, snacks, coffee and supplies. Keeps areas clean and neat.
  • Answers incoming calls and performs general administrative duties. Also may assist other administrative staff with overflow work and any special administrative projects from internal SMIL departments and executives.
  • Point contact for copier repair, facility maintenance requests, Property Management, and various vendors (e.g. coffee makers, water cooler).
  • Sorts and distributes incoming and outgoing mail.
  • Assists with event planning, catering needs and small appliance / furniture orders as necessary.
  • Assists Finance Department with sending out reimbursement checks weekly.
  • Assists Human Resources with various projects.
  • Assists with scrub embroidery orders.
  • Performs other job-related duties as assigned or requested

    Education and Experience

  • High School Diploma or Equivalent
  • Proficient in Microsoft office
  • Physical Requirements

    While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel, reach with hands and arms and talk or hear. The employee is frequently required to sit and occasionally required to stand and walk. The employee may occasionally lift and / or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and ability to adjust focus.
