The Administrative Analyst is highly organized and detail-oriented, supporting the corporate Fleet Department. You will play a crucial role in supporting the efficient administration of our ambulance fleet department. This position involves a combination of administrative and analytical tasks, coordination of responsibilities, and communication with internal and external stakeholders.
Essential Duties and Responsibilities :
- Analyze and report on compliance with KPIs within the Corporate Fleet department.
- Maintain accurate and up-to-date records of ambulance fleet documentation.
- Accountable for tracking and execution of vehicle registrations, insurance, vehicle titles, and inspection process, across multiple states.
- Ensure compliance with regulatory requirements and standards related to ambulance fleet operations.
- Serve as a point of contact for internal staff and external vendors regarding fleet-related inquiries.
- Provide training and support for staff in using new technologies.
- Identify areas for improvement in fleet management processes and suggest solutions.
- Participate in continuous improvement initiatives to enhance overall operational efficiency.
- Input data accurately into fleet management systems, keeping records updated in real-time.
- Maintains reports, schedules and takes minutes of meetings.
- Assist in monitoring and ensuring compliance with safety standards, protocols, and regulations within the ambulance fleet.
- Conduct internal audits to assess adherence to compliance standards.
- Book travel reservations, as requested, for the Fleet leadership team.
- Maintains calendars / schedules for Fleet leadership.
- Interface with suppliers and vendors for the procurement of fleet-related products and services.
- Collect and document feedback from staff and stakeholders to drive ongoing improvements.

High school diploma or equivalent; additional relevant education or certification is a plus.Proven experience in administrative or analyst roles, preferably in a fleet management setting.Previous experience in fleet management, logistics, or a related field is highly desirable.Familiarity with emergency medical services (EMS) operations is a plus.Excellent organizational and time management skills.Strong attention to detail and accuracy in data entry.Ability to multitask and prioritize responsibilities effectively.Strong analytical skills.Proficient in using office software and fleet management systems.Effective communication skills and the ability to work collaboratively.Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
