As a Finance Assistant at Hess Services Inc, you will play a crucial role in maintaining accounts payable while providing support for accounts receivable tasks. Other duties may be assigned. 1.Attending to the general administrative needs of the AP / Finance department, this role works closely with and reports to the CFO. Assists in managing accounts payable, including auditing PO’s to invoices, entering payables, reconciling statements to invoices and ensuring vendors are paid in a timely manner. Process expense reports, updating and reconciling sub-ledger to G / L and processing checks. Sorts and alphabetizes packing slips and invoices, matches each packing slip to its corresponding invoice, and enters invoices to be paid. Creates labeled folders for entered invoices to be filed alphabetically and kept organized. Communicates with both co-workers and vendors to resolve price discrepancies, verify information,and ensure timely payment. Analyzes vendor statements to ensure all invoices are entered and prepared for prompt payment. Assists in answering phone calls and directs the calls to the respective recipients. Completes tax-exempt forms to send to vendors and maintains tax-exempt status with respective vendors and product categories. Processes credit card statements, including matching receipts to statements, entering invoices, and contacting employees for missing receipts. Maintains safe and clean working environment by complying with procedures, rules, and regulations. Supporting accounts receivable tasks, such as entering and tracking data, preparing and mailing customer statements, submitting online Performs additional duties as needed. Previous customer service and administrative or clerical experience. Ability to read and interpret documents such as invoices, procedure manuals and job instructions andbasic problem-solving skills. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, commonfractions, and decimals. Ability to calculate figures and amounts such as proportions andpercentages. Ability to apply common sense understanding to carry out instructions furnished in written, oral, ordiagram form. Ability to manage time effectively and prioritize tasks to meet deadlines and multi-task effectively. Strong attention to detail and organizational skills. Ability to operate computer and computer software, including Microsoft Office products. Ability to use department equipment. Ability to maintain confidentiality.
