We are seeking aBilling & Collections Specialistto join our team. This role is ideal for someone who is client-focused, highly organized, and comfortable managing sensitive financial conversations with professionalism and empathy.

Position Overview

The Billing & Collections Specialist will be responsible for managing the full billing cycle, ensuring timely invoicing, payment processing, and collection of outstanding balances. This role involvesheavy client interactionrequiring excellent communication, interpersonal skills, and discretion. The Specialist will also collaborate with attorneys, paralegals, and administrative staff to ensure accuracy and transparency in all billing matters.

Key Responsibilities

  • Prepare, review, and issue client invoices in a timely and accurate manner.
  • Monitor accounts receivable, track outstanding balances, and follow up with clients on overdue payments.
  • Communicate directly with clients regarding billing inquiries, payment plans, and account status, always with professionalism and empathy.
  • Process payments, maintain detailed records, and reconcile accounts regularly.
  • Partner with attorneys and staff to resolve billing discrepancies or adjustments.
  • Provide regular reports on collections status and accounts receivable trends to firm leadership.
  • Ensure compliance with firm policies, confidentiality standards, and applicable regulations.

Qualifications

  • 2+ years of experience in billing, collections, or accounting (law firm or professional services experience strongly preferred).
  • Strong interpersonal and communication skills, with the ability to handle sensitive financial conversations.
  • Exceptional attention to detail, accuracy, and organizational skills.
  • Proficiency in billing / accounting software and Microsoft Office Suite (Excel required).
  • Ability to manage multiple priorities in a fast-paced environment.
  • A proactive, client-service mindset with a problem-solving attitude.
