POSITION SUMMARY

The Receptionist directs people both externally and internally to the appropriate contact either via telephone or in person, aids in office organization and in processing new hires.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Oversee all aspects of general office coordination within assigned department(s).
  • Greet visitors and ensure a positive, welcoming environment at the front desk and entrance.
  • Answer telephone and direct calls to appropriate individuals. Assist all callers and visitors in a courteous and helpful manner.
  • Perform general clerical duties including copying, faxing, mailing, and filing.
  • Create and modify documents such as reports, memos, and letters using Microsoft Office or other software.
  • File and retrieve organizational documents, records, and reports.
  • May conduct research, compile data, and prepare documents for management.
  • Support staff and management in assigned project-based work.
  • Light Accounts Payable : Assist with invoice entry, coding, and vendor communication. Help reconcile statements and follow up on outstanding items.
  • Light Payroll Support : Collect and verify timecards, assist with payroll data entry, and maintain confidentiality of employee records.
  • Call Before You Dig Ticket Management : Submit and track CBYD tickets, communicate with field staff regarding ticket status, and maintain organized records of requests and responses.
  • Other duties as assigned by the Supervisor.

KNOWLEDGE AND SKILLS

  • Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, and copiers.
  • Demonstrated computer literacy skills including working knowledge of Microsoft Office applications : Word, Excel, and Outlook.
  • Ability to follow oral and written instructions.
  • Possess excellent verbal communication and interpersonal skills.
  • Able to multi-task.
  • MINIMUM ENTRY REQUIREMENTS

  • High school diploma or equivalent required.
  • Bi-Lingual.(written and spoken - English and Spanish) Required.
