A Day in the Life as an Accounts Payable Assistant
As an AP Assistant, you will be be responsible for supporting all aspects of the accounts payable function for the company, including coordinating with purchasing, receiving, and other departments to ensure the accuracy of invoices, payments, and related financial records. Essential functions include :
- Process invoices from receipt through payment, including check preparation
- Maintain accurate vendor accounts and invoice files
- Manage W-9 documentation to ensure all vendor files are complete and current
- Monitor purchase orders, receipts, and related documentation for accuracy
- Reconcile employee credit card statements and ensure timely payment of all submitted expenses
- Track reports for year-end audit and income tax preparation
- Perform vendor statement reconciliation and resolve discrepancies promptly
- Assist with project assignments and month-end reporting activities
- Serve as backup support within carious areas of the accounting department
- Contribute to quarter-end and year-end audit preparation
- Participate in internal controls testing and documentation
What You Need
Associate's degree in Accounting or related field, or actively pursuingStrong understanding of accounting principles and terminologyAccurate and efficient data entry and basic math skillsExcellent attention to detail, accuracy, and organizational skillsExcellent verbal and written communication skillsProactive and self-motivated, with the ability to to manage multiple priorities independentlySolid problem solving and time management skillsProficient in Microsoft Office Suite (Excel, Word, Outlook, Teams, PowerPoint)What Makes You Stand Out
