Position Summary :
The Administrative Assistant will provide essential administrative and operational support to ensure smooth day-to-day operations across various departments. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities :
- Answer phone calls and greet visitors at the door.
- Check and sort mail daily. Receive in any shipments (Amazon, UPS, FED EX, etc). Distribute shipments to proper people
- Ability to utilize QuickBooks software for customer invoicing and payments
- Enter orders and new truckloads of received materials.
- Record vendor invoices and credit card charges in QuickBooks, ensuring accuracy and proper matching with receipts and monthly statements.
- Maintain and update emissions spreadsheets and timecard records.
- Manage basic shop supply inventory across both production facilities and break room supplies.
Qualifications :
Proven experience in administrative or clerical roles.Proficiency in QuickBooks (preferred) and Microsoft Office Suite.Strong organizational skills and attention to detail.Ability to multitask and manage competing priorities effectively.Excellent communication and interpersonal skills.Preferred Experience :
Familiarity with shipping logistics and inventory management is a plus.Experience in a manufacturing or production environment is beneficial.Working Conditions :
Office-based role with occasional interaction in production facilities.
