We’re seeking a Service and Compliance Coordinator to join our growing team and help deliver seamless operations, exceptional service, and reliable support to our management staff, residents, and vendors.
POSITION OVERVIEW
The Service and Compliance Coordinator play a key role in ensuring the smooth daily operation of our property management office. This position requires strong organizational skills, excellent communication, and the ability to handle multiple priorities in a fast-paced environment. The role is 100% on-site in our South End office. The ideal candidate is punctual, dependable, and highly collaborative, with the ability to communicate effectively.
KEY RESPONSIBILITIES
Administrative & Front Desk Support
- Greet and assist clients, residents, and visitors in a professional manner.
- Answer and route phone calls, respond to inquiries, and manage front desk communications.
- Maintain a clean, organized, and welcoming reception area.
- Support daily office operations and assist property managers with administrative projects as needed.
Service Coordination
Support the Service Manager by scheduling and tracking vendor and service activities for maintenance, repairs, and emergencies.Compliance & Safety Oversight
Coordinate inspections, testing, and preventive maintenance of essential building systems, including :o Fire alarms, sprinklers, pumps, extinguishers, and emergency lighting
o Elevators, car lifts, wheelchair lifts
o Generators, oil-water separators, and backflow devices
o Smoke control, carbon monoxide, and bi-directional antennas
Manage scheduling of Service Staff for life safety inspection appointments.Maintain accurate records of inspection and testing schedules to ensure compliance.Key & Access Control
Maintain the Log-It-Out secure key system : log keys, track returns, and manage key / fob / remote inventory.Program access fobs and remotes into building systems and order replacement inventory as needed.QUALIFICATIONS AND SKILLS
Strong verbal and written communication skills.Professional, courteous, and calm under pressure.Excellent organization and attention to detail.Proven ability to multitask and manage competing priorities.Self-motivated with sound judgment and problem-solving abilities.Proficient in Microsoft Office Suite (Outlook, Word, Excel)Commitment to confidentiality and professionalism.Bachelor’s degree or equivalent work experience preferred.WORK SCHEDULE AND ENVIRONMENT
Location : South End, downtown Boston, MAHours : Monday - Friday, 8 : 30 AM - 5 : 00 PM (40 hours / week)100% in-office (no remote work)COMPENSATION AND BENEFITS
