- Reconcile the 3 stores daily reports and 2 routes, make the deposit and post sales to the period spreadsheet. Post daily sales to General Ledger.
- Match transactions that have cleared the bank with QuickBooks and keep transactions up to date.
- Enter invoices into payables, matching appropriate General Ledger expense accounts to invoices and schedule payment due dates.
- Check emails (hourly)
- Check payables and issue payments for those bills due.
- Close books (1st-15th), (16th- end of month).
- Balance spreadsheets to General Ledger.
- Compute commission pay for route drivers.
- Calculate and enter payroll. After payroll has been submitted, prepare semi-monthly and monthly reports, post payroll to general ledger.
- Print check stubs and time records and insert into pay envelopes.
- Prepare monthly spreadsheet reports for management / owner.
- Process payroll garnishment payments.
- Print and review customer statements and prepare for mailing.
- Reconcile Agent’s monthly statement.
- Process credit card payments for customers who request autopay.
- Reconcile checking and Savings accounts.
- Email appropriate documents to Accountant so she can review the month and prepare / pay Iowa State Sales Tax.
Human Resources Tasks
Respond to employee requests for information, such as time or pay records, forms to be completed for assistance, housing etc.Update employee PR files and active employees on the time clock plus program and the payroll program at mypay solutions.Assist with onboarding of new employees, short orientation, explain employee rules and regulations, gather all paperwork (Federal and State W-4, I-9, State notification and Direct Deposit). Answer any questions for new employees.Review employees available for the 401(k) retirement plan and assist in enrollment. Encourage nonparticipants to join.Offer health insurance coverage to those who qualify, contact insurance agent to help explain coverage and enroll interested employees.Respond to Unemployment issues.
