Rutherford County Planning and Engineer is seeking a detail-oriented and organized Administrative Support III to provide professional administrative, clerical, and customer service support. This position plays a vital role in the daily operations of the department by assisting with budgeting, financial recordkeeping, document processing, and coordination of meetings, communications, and departmental projects.
The ideal candidate will be a self-motivated, dependable individual with strong communication skills and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide administrative and clerical support to the County Engineer departmental staff.
- Greet visitors, answer phone calls, and provide courteous, accurate customer service to the public, contractors, and other departments.
- Prepare, process, and maintain department documentation, correspondence, and financial records.
- Assist with budget preparation, purchasing, and invoice processing; monitor and reconcile departmental expenditures.
- Coordinate calendars, meetings, and travel arrangements; prepare agendas, meeting packets, and minutes for various boards and committees.
- Maintain accurate filing systems, databases, and records; assist with data entry and reporting.
- Prepare legal notices, zoning and subdivision documentation, and materials for Planning Commission and Board of Zoning Appeals meetings.
- Support departmental functions including stormwater, GIS, zoning, and development documentation.
- Assist with departmental website updates and public communications.
- Maintain confidentiality of sensitive information and ensure compliance with county policies and procedures.
Minimum Qualifications
High school diploma or GED required.Two (2) years of administrative, secretarial, or office management experience, preferably in a government or engineering / planning environment.Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and data entry systems.Knowledge of basic bookkeeping and budget tracking procedures.Strong written and verbal communication skills with attention to detail.Ability to work independently, organize workload, and meet deadlines.Must maintain confidentiality and demonstrate sound judgment.May require valid State of Tennessee Notary Public certification (or ability to obtain).Preferred Qualifications
Experience in municipal or county government, engineering, planning, or related field.Familiarity with zoning, permitting, or GIS database management.Experience coordinating meetings and preparing public hearing materials.Why Join Us
