Job Title : Global Education Systems Analyst

Department : International Affairs | Education Abroad Administration

This Global Education Systems Analyst contributes to the University’s teaching by leading the administrative operations for global education. This position will assist the team leader in developing a vision and direction for the administrative and systems operations. This position is also responsible for developing and updating processes for key administrative operations and for troubleshooting complex scenarios. The position interacts with university systems such as SIS and Scholarship Universe, in addition to global education software (Terra Dotta) and the payment gateway (CyberSource) and is the point of contact for several university offices (Student Financial Aid, Bursar, Registrar).

Position Responsibilities

Policies : 5%

  • Maintains current knowledge of relevant university financial and academic policies and practices as well as U.S. Department of Education rules and regulations regarding financial aid, eligibility, disbursement, refunds, and compliance.
  • Monitors application of policies in daily processes and reports concerns, exceptions, or updates to the appropriate team lead.
  • Data : 15%

  • Responds to frequent OIA and university requests for global education data and assists with external benchmarking requests. Compiles national IIE Open Doors reports.
  • Works with global education leadership and the team lead to proactively monitor data trends.
  • Ensures that data reported by the Global Education unit is consistent, reliable, and accurate through established data verification processes.
  • Monitors and reconciles data between the Student Information System and the global education software system to ensure integrity, reporting findings and discrepancies to the team lead.
  • Systems 40%

    Responsible for the operation, maintenance, and improvement of core systems and processes that support global education programs.

    This includes :

  • Global Education Enterprise Software System : Operates and maintains enterprise software systems, such as Terra Dotta Software (TDS), that manage global education programs. Reports to the team’s enterprise software system lead and provides back-up support. Works across the system on both OIA-managed and non-OIA experiences.
  • Remains updated on new features to the Global Education Enterprise Software System (TDS) by attending release webinars, reading release notes, assist Team Lead with benchmarking, and assisting with testing and training on new features.
  • Assists Team Lead in overseeing specialist team’s work.
  • Student Information System (SIS) : Interacts frequently with the system to post fees, verify enrollments, and lead the setup of global education course attributes.
  • Scholarship Universe : Serves as team lead for setting up and maintaining scholarships in this university-wide system; designs internal processes and protocols for application review and posting of awards.
  • Cybersource : Assists in troubleshooting the payment gateway used within the global education software system.
  • Leadership and Oversight 25%

    Provides leadership for key operational processes and serves as a central point of coordination and problem-solving for complex academic and financial scenarios.

    This includes :

  • Process Leadership : Designs and leads the processes for student conduct disciplinary checks, cancellation fee appeals, and adding global education students to special enrollment permission groups.
  • Oversight and Collaboration : In collaboration with the Team Lead and the Global Health and Safety team, provides oversight of the student travel registry for non-OIA programs.
  • Cross-Campus Coordination : Works closely with all members of the Global Education team and campus partners—including the Office of the University Bursar, the Office of Student Financial Aid, and the Registrar’s Office—to anticipate needs, resolve issues, and develop solutions for nonstandard student financial and academic cases.
  • Administrative Process Supervision - Ensures that the jobs completed by the Global Education Administrative Senior Coordinators are done on time and with needed support. This includes program fee posting, insurance billing, completed internal questionnaires, course setup checks, and so on.
  • Collaborations and Problem-Solving 10%

  • Works closely with all members of the global education team; anticipates needs and helps strategize solutions for complex student financial and academic scenarios that fall outside standard processes, while reporting escalations to global education leadership.
  • Serves as the primary contact for university departments that support study abroad administrative tasks (e.g., Bursar, Office of Student Financial Aid, Registrar’s Office, and other academic support units).
  • Participates as a member of the Global Education Cancellation Fee Appeals Committee.
  • Monitors and helps analyze financial or academic disruptions due to program cancellation or early student return; provides initial guidance and solutions to the team, and elevates complex cases to the team lead and leadership as part of the overall incident response protocol.
  • Other Duties as Assigned : 5%

    Minimum Required Qualifications

  • Bachelor's degree or equivalent experience.
  • 2 years of relevant experience required.
  • Required Qualifications

  • An understanding of the holistic view of student’s record and understanding of the ramifications of students’ enrollment and / or withdrawal in the context of the academic calendar (i.e. when the changes were made).
  • Familiarity with university systems such as SIS
  • Has expertise with university policies and procedures regarding financial aid disbursement, fee assessment, fee payment, enrollment and withdrawal.
  • Experience working with data
  • Comfortability with learning new systems, such as Terra Dotta.
  • Experience working with often ambiguous situations in a fast-paced environment

  • Additional Information :

    The Targeted Hiring Range for this position is $58,700 - $62,100 . The actual salary paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
