Medical Scheduling Representative (Surgery) , Pittsburgh, PA 15213
Location : Pittsburgh, PA 15213 (Oakland area)
Work Schedule : Monday-Friday, daylight hours, no nights, weekends, or holidays
Starting Pay Rate : $19.00 - $22.00 per hour, to start

Medical Scheduling Representative (Surgery) is an essential link between skilled surgeons, advanced practice providers, and patients requiring highly complex, tertiary care. Responsible for executing all necessary administrative, financial, and logistical steps to ensure seamless surgical patient flow and physician scheduling.
Surgical & Clinical Coordination
Schedule surgical cases, pre-screening exams, diagnostic testing, and post-operative appointments for all patients.Secure all necessary pre-certification and / or referrals prior to the procedure date.Coordinate cases and communicate with hospital personnel to obtain approval for all hospital admissions.Provide patients with clear pre- and post-operative instructions and ensure informed consents are signed and secured.Financial & Administrative Management
Coordinate and track patient follow-up using the Refract Tracker and the EPIC system.Discuss and coordinate financial arrangements prior to surgery, including the collection of pre-payments.Ensure all billing and insurance information is current and accurate ; requires in-depth knowledge of regulations (Medicare, BC / BS, Managed Care, Worker’s Comp).Prepare and forward all necessary admission reservations / requisitions to hospitals.Communication & Operational Leadership
Act as the primary liaison between patients and referring physicians , responding to all incoming telephone inquiries regarding surgery.Work directly with the department to troubleshoot procedural and operational issues.Manage various departmental needs, including coordinating patient education seminars, collecting research study data , and completing special projects as assigned.Qualifications
Required
High school diploma or equivalent.Completion of a Medical Assisting program OR 2–4 years of experience in a medical field (scheduling, billing, or patient coordination).Strong organization, time management, and interpersonal skills.Proven ability to work independently and possess sound decision-making skills.Ability to deal compassionately and professionally with patients and their families.Preferred Skills
Proficiency in medical terminology.Knowledge of the Epic practice management program.Demonstrated knowledge of insurance regulations (Medicare, Managed Care, BC / BS, Worker's Comp) regarding surgical scheduling and approvals.Experience in a high-volume surgical or specialty practice.
