Job description

This is a grant-funded position with an expected duration of three (3) years . Continued employment is contingent upon the availability of funding.

SUMMARY OF THE JOB :

This role is responsible for providing comprehensive case management and student support services, ensuring participants in the program are successfully guided through enrollment, training, and job placement. The position requires strong documentation, communication, and coordination across departments to deliver wraparound services and support student success.

ESSENTIAL FUNCTIONS :

  • Review program overview with participant, describing program benefits, limitations, and exceptions.
  • Document RTW care plan within one month of Case Review.
  • Document participants enrollment in an Approved Training.
  • Monthly attempts to contact each Participant using various contact methods and documents in Sync.
  • Offer Wraparound services and document in Sync.
  • Serving as the participants’ primary point of contact.
  • Document comprehensive assessments of participants.
  • Disburse Emergency Assistance to participants according to program funding guide and document in Sync.
  • Mange tuition disbursements in Sync.
  • Document all other Wraparound services, Support Services, Job Placement Services, and in Sync based off services provided by other departments within Hallmark University.
  • Provide Job retention services once a student has graduated.
  • Verify employment status & contact information.
  • Track job milestones.
  • Assist students in overcoming barriers.
  • Provide additional coaching and mentoring as necessary.
  • Will work closely with Academic Advisors, Career & Industry Advisors.
  • Additional duties as assigned.

  • KNOWLEDGE / SKILLS / ABILITIES :

  • Strong attention to detail, professionalism, and customer service orientation.
  • Ability to work independently and collaboratively within a team.
  • Working knowledge of FERPA regulations and institutional confidentiality standards.
  • Familiarity with academic policies and procedures, or ability to quickly learn them.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Demonstrated work ethic, accountability, and alignment with Hallmark University’s core values.
  • QUALIFICATIONS AND EXPERIENCE REQUIRED :

  • Bachelor’s degree from an accredited institution.
  • Strong client service and professional presentation skills.
  • Proficiency in Microsoft Word and Excel.
  • Ability to work afternoons, evenings, and occasionally on Saturdays.
  • Must successfully pass a comprehensive background check.
  • PREFERRED :

  • Experience in higher education or workforce development environments.
  • Five years of experience in academic advising.
