Summary :
The Office Services Coordinator will be responsible primarily for processing SAP transaction for the Real Estate & General Services team in addition to assisting with AP payments and resolving payment issues by working with the AP department.
The position will also coordinate office operations, including office inventory management, handling incoming and outgoing mail, processing of FedEx packages and special mailings and assisting employees and external vendors and maintenance personnel.
The Office Services Coordinator will also provide reception services at the reception desk, answering and directing phone calls and welcoming visitors.
Responsibilities, include, but not limited to :
- Process SAP transactions for department.
- Work with AP department to process payments and resolves payment issues
- Process FedEx packages.
- Accept deliveries to the office.
- Process incoming and outgoing mail in addition to special mailings.
- Deliver packages and mail.
- Provide reception services at reception desk including :
- Welcome and direct all visitors.
- Answering and directing phone calls.
- Issuing security badges.
- Enforces anti-pass back policy.
- Updates employee profiles in access control system.
- Ensure appropriate office supply inventory levels, monitoring, restocking and reordering.
- Coordinate entry of work orders for maintenance services at relevant offices
- Coordinate external vendor and maintenance support at relevant offices as directed by senior manager.
- Ensure daily communal areas, including kitchens, conference rooms and break rooms, are well-stocked and maintained.
- Ensure coffee machines and all other kitchen equipment on a minimum weekly basis are cleaned thoroughly and in good working condition.
