Outreach and Recruitment Coordinator - Special Partnerships

Position Summary : The Outreach and Recruitment Coordinator – Special Partnerships ensures JobTrain’s career tracks meet enrollment targets by identifying potential students, conducting outreach, and supporting registration. They establish partnerships, track recruitment initiatives, and engage in outreach across the Bay Area. Responsibilities include maintaining client records, generating reports, and participating in events. Strong research, communication, organization, and database skills are required. This position will primarily work onsite with some work from home flexibility.
Major Duties and Responsibilities
- Conduct ongoing outreach to recruit clients for all JobTrain programs and services, with special focus on assigned career training program(s). This includes :
- Tracking special recruitment initiatives and evaluating effectiveness of strategies and campaigns.
- Remaining abreast of upcoming course start dates and planning outreach accordingly with community partners.
- Building and maintaining relationships with partner organizations, attending meetings, providing case updates and reports, identifying new partners for recruitment.
- Canvas and distribute flyers in assigned geographic areas.
- Responding to inquiries from the public and community organizations and providing information and materials.
- Providing special presentations to community partners.
- Representing JobTrain at outreach events, including evening and weekend events, and attending stakeholder meetings as representative.
- Seeking out and participating in opportunities to promote JobTrain programs and services.
- Guide clients through the assessment process (if applicable), including :
- Communicating with community partners when difficulties arise.
- Assisting with completion of application and submission of documents.
- Coordinating with assessment lead if assessment scores are insufficient.
- Ensuring smooth transition to the appropriate Career Development Specialist after meeting registration and assessment requirements, and providing updates to community partners.
- Answering additional questions or helping with any aspect of the registration process.
- Maintain accurate client and outreach records in Salesforce, including notes, required steps, documentation, and generate regular and ad‑hoc reports to monitor client progress and outreach activity.
- Travel to relevant events and meetings in the Bay Area as needed (up to 30 miles each way).
- Assist with other administrative duties, including front‑desk assistance and training of new outreach staff.
- Partner with JobTrain staff to provide input and feedback to improve processes.
Qualifications
Experience
Demonstrated experience working as an outreach coordinator (at least three years or relevant experience) and successfully meeting all responsibilities of the role.

Job Knowledge – Relevant and up‑to‑date intermediate administrative skills.Client Orientation – Able to identify and act upon the needs of diverse clients, partners, and staff with a service orientation, to ultimately maximize impact.Dependable and Detail Oriented – Dependent and punctual for work and events, ability to perform duties with strong attention to detail in a timely manner.Organization skills – Ability to multi‑task and follow processes, policies and procedures in an organized manner, set priorities and meet goals and objectives.Communication Skills – Ability to communicate professionally verbally and in writing with integrity, comfortable making presentations to external groups and working one‑on‑one in a supportive manner with clients.Collaboration / Teamwork – Ability to effectively collaborate with internal and external partners, respectfully engage with diverse populations, and work independently or as a member of a team.Technology – Strong intermediate level knowledge of MS Office (Excel, Word, Outlook, Teams, PowerPoint) and database technology (Salesforce experience a plus).COVID-19 Certification

Compensation and Benefits
JobTrain offers a competitive pay and benefits package including health insurance, dental insurance, vision, paid holidays, paid winter break, paid time off, retirement program employer match, long‑term disability and life insurance. The anticipated hiring range is $31 / hour.
