Overview

Medix is partnering with a well-established health and wellness center in the Katy area to hire a Guest Coordinator . This role is ideal for someone who loves creating memorable guest experiences in a professional, wellness-focused environment. The Guest Coordinator will serve as the first point of contact for guests, ensuring every interaction-both in person and over the phone-is warm, professional, and exceeds expectations.

The ultimate goal is to provide extraordinary hospitality and deliver a WOW guest experience through attention to detail, enthusiasm, and care.

Essential Duties & Responsibilities

Answer incoming calls within two rings, with enthusiasm and professionalism.

Create telephone encounters and transfer calls to the appropriate team member or department.

Assist with guest check-out, ensuring accuracy of claims, payments, and documentation.

Process payments correctly (credit card, check, or cash), mail invoices or lab orders when needed.

Schedule, confirm, and modify guest appointments as needed.

Make weekly confirmation calls for provider schedules.

Maintain up-to-date guest information in the EMR system (addresses, contact info, etc.).

Complete and track medical record requests with required documentation.

Support scanning and administrative tasks to ensure timely completion of front office workflows.

Share responsibility for outbound calls related to accounts receivable and guest collections.

Track key front office metrics and contribute to daily operational goals.

Provide a "WOW" experience for every guest-anticipating both expressed and unexpressed needs.

Continuously look for opportunities to surprise and delight guests through exceptional service.

Cross-train across all Front Office duties to ensure seamless team support.

Qualifications

Must-Have Skills / Experience :

Minimum 6+ months of front office or customer service experience (healthcare experience preferred)

Excellent multitasking skills ; able to manage phones, scheduling, and guest interactions simultaneously

Friendly, outgoing, and professional demeanor with exceptional customer service skills

Strong attention to detail and commitment to accuracy

Must live within 30 minutes of the Katy area

Nice-to-Have Skills :

Prior experience in a medical, wellness, or spa setting

Knowledge of EMR or scheduling systems

Soft Skills :

Warm and polished phone etiquette

Positive, can-do attitude

Professional and poised appearance

Employment is contingent upon successful completion of applicable background and reference checks, which may include a credit review if relevant to the role.
