Accounting Manager Job Duties include :
Financial & Accounting Management
Team Leadership & Oversight : Manage and guide a team of five staff members covering Accounts Payable / Receivable, Billing, Payroll, Job Costing, and Benefits administration, serving as the primary decision-maker for the team.
Payroll & Tax Oversight : Oversee all aspects of payroll processing and reconciliation. Direct quarterly and annual tax filings (IRS, FTB, W-2, 1099, 940) and ensure the accounting system is current with tax rates and benefit changes. Serve as backup for weekly payroll processing.
Compliance & Audits : Lead the preparation and coordination for various external audits, including IRS, FTB, Worker's Compensation, Insurance (Medical / 401K), and Union audits. Review and finalize audit reports, particularly for Worker's Comp (including OCIP adjustments) and Union Operators & Laborers.
Union Administration : Manage and oversee union payments, employee payroll fringe calculations, and union contracts. Inform management of pay / contract changes, update labor cost sheets for billing / bidding, and serve as a resource for employees with union trust fund issues.
Human Resources & Benefits Administration
Employee Onboarding & Compliance : Oversee the entire onboarding process, including managing I-9 and E-Verify compliance, background checks, and new hire enrollment in all benefit plans.
Benefits Administration : Administer and oversee all employee benefit programs, including 401K (enrollments, loans, RMDs), Cash Balance, Long-Term Life and Disability, Medical, Vision, and Dental, and the Cafeteria Plan. Manage open enrollment, review billing, and process termination updates (., COBRA paperwork).
Regulatory Reporting : Ensure timely and accurate submission of all federal and state compliance filings, including FMLA / CFRA management, EEO reporting (federal and California), and various notices (., Credible Coverage CMS, Marketplace Options, Disclosure Notice Part D).
DOT & Drug Testing : Oversee drug testing for new hires and manage the quarterly random drug testing program for DOT drivers, ensuring compliance with USDOT regulations (licenses, medical cards, forms).
General Administration & Support
Clerical & Administrative Tasks : Take ownership of and manage administrative and clerical tasks, improving efficiency and supporting the team.
City Filings : Complete and file Gross Payroll and Gross Receipts for San Francisco and manage annual Business Registration renewals.
Owner Support : Price out EWOs during busy periods. Act as backup for office phones.

Leadership & Management : Strong ability to manage, coach, and mentor a stable team of experienced senior staff, fostering a cohesive and high-performing unit.
Interpersonal Skills : A genuinely nice personality with exceptional people skills, crucial for fitting into a family-owned company culture and for effectively coordinating with staff, auditors, and union representatives.
Technical Accounting : Expertise in all aspects of corporate accounting, general ledger, and financial reporting, with a focus on payroll systems, benefits administration, and multi-state tax compliance.
Adaptability : Proven ability to quickly learn new tasks and systems and to handle a wide variety of responsibilities, including taking over necessary clerical tasks to support the team.
Decision-Making : The confidence and judgment to serve as the primary decision-maker for the administrative staff and the capability to run the company's administrative and financial operations if required by the Owner.

Accounting Manager Requirements may include :
Education : Bachelor’s Degree (BA / BS) in Accounting or Finance.
Experience : Significant, non-junior level experience in a senior accounting or financial role.
Industry Knowledge : Required experience working in the construction industry, with a deep understanding of its financial cycles, job costing, and relevant compliance issues (., OCIP, prevailing wage, .
Union Environment : Proven experience and understanding of working within a union environment and managing related payroll and fringe benefit obligations.
Willingness to submit to a pre-employment background check & drug screen
