JOB SUMMARY :
The Medical Records Specialist is responsible for maintaining accurate and secure health records for residents in our Nursing Home Facility . This position plays a critical role in ensuring all documentation is current, complete, and compliant with healthcare regulations. The ideal candidate will have a strong attention to detail, excellent organizational skills, and familiarity with healthcare documentation processes.
RESPONSIBILITIES :
Copy 24 hour report to all departmentsMaintain resident medical records, ensuring they are up-to-date, complete, and accessible to authorized personnelRun MDS due and completed reportsOrganize, file, and retrieve resident health records as needed, including admission forms, treatment notes, lab results, and discharge summariesAccurately enter health data and updates into the Electronic Health Record (EHR) system and ensure any paper records are properly digitizedAdhere to HIPAA and other regulatory standards, safeguarding resident privacy and ensuring records are accessed only by authorized individualsRegularly audit records to ensure accuracy and compliance with state and federal regulations; identify and resolve any discrepanciesCoordinate with nursing staff, physicians, and other healthcare professionals to obtain missing information or clarify documentationProcess and fulfill requests for medical records, ensuring proper authorization and timely responseStay up-to-date with regulatory changes, and assist with preparing records for surveys, inspections, or auditsAssist other staff with understanding the medical records process and train new team members on documentation policiesOther duties as assignedREQUIREMENTS :
High school diploma or equivalent required; Associate's degree in Health Information Technology or a related field preferredPrior experience in medical records or health information management, preferably in a skilled nursing facility or long-term care settingRHIT (Registered Health Information Technician) or similar certification is a plusProficiency in medical terminology, strong computer skills (especially in EHR software), and a high degree of accuracy and organizationFamiliarity with HIPAA regulations and best practices for medical record-keeping in healthcare
