We are looking for a compassionate an organized Service Coordinator to join our Long Beach team. A Service Coordinator is invested in assisting us in providing quality care and making quality matches between our experienced Caregivers and valued Clients.
Available : Tuesday–Saturday or Sunday-Thursday, 11 : 30pm-8 : 00am (Graveyard shift)
Candidates must be able to commit to working the full shift as scheduled.
This is not a remote position.
Responsibilities
- Staff scheduling and coordination
Ensure efficient and appropriate scheduling of caregivers and clients to meet the needs
Understand client needs, preferences and case requirements to identify the most suitable caregiver based on skillset and availability.Manage the schedules of agency clients and caregivers, ensuring timely and appropriate coverage.Respond quickly to urgent staffing needs to maintain continuous coverage.Ensure schedules are within the authorization limitationsPromote caregiver satisfaction and retention by aligning work opportunities with their availability and preferences.Conduct outgoing phone calls / text / email to confirm scheduled services to prevent lapse in coverage as assignedTrack and document all staffing activities, shift changes, shift refusals and client / caregiver communicationsCommunication and relationship managementServe as the evening point of contact between caregivers, clients, families and the internal team
Communicate promptly and professionally with both clients and caregivers regarding scheduling updates, shift confirmations and changes – both over the phone and written communicationBuild strong relationships with clients and caregivers through consistent follow up and empathy.Coordinate with the quality and training department related to caregiver performance and client satisfactionProvide regular updates to supervisor on staffing challenges or client concernsEnsure a seamless transition between shiftsProvide clear communication to regarding caregiver and client needs,
Share urgent matter or time-sensitive updates and or any special instructions from on-call manager or clients to staff coming onto their shiftVisit Submissions and Mobile App TroubleshootingEnsure all visit submissions are entered timely and accurately in the system
Verify client information, visit details, authorization information to prevent any scheduling errorsEnter visit submissions or make requested changes when neededAddress and resolve caregiver inquiries related to checking in / out of scheduled visits, ensuring company and state regulationsGuide the caregiver through basic app troubleshooting as instructedNotify HR and / or Payroll when caregiver follow up is required related to compliance, training or payroll needsQualifications
Qualifications
Highschool diploma or equivalentStrong organizational, multi-tasking and problem-solving skillsEffective verbal and written communicationStrong typing skillsAbility to handle fast-paced, deadline driven environmentsCapable of handling high call volumeProficiency with Microsoft office a plusPrevious experience in home care or healthcare staffing a plusAbility to communicate in both English and Spanish requiredJob Requirements
